About The Position

The Information Specialist is responsible for placing/receiving telephone calls for the organization. This includes the main hospital, information desk, After-Hours, and Crisis Services. This service will be provided 7 days per week, 24 hours per day. These services are to be performed rapidly, accurately and courteously, using telephone attendant consoles. Specialist is also responsible for providing information/assistance to visitors and the public. The employee is subject to call back and overtime as required by the hospital.

Requirements

  • High School Diploma required
  • Knowledge of Telecommunications procedures and policies as acquired through one (1) year of experience in the hospital telecommunications department or its equivalent.
  • Ability to operate PBX equipment and communications systems as normally acquired through prior experience.
  • Knowledge of hospital and departmental policies and procedures as acquired through 2-3 months of work experience.
  • Requires Medical Terminology/Healthcare background.

Responsibilities

  • Places and receives large volumes of telephone calls for the organization, gives dialing instructions for inside and outside calls, ascertains the intent or purpose of the calling parties, refers callers to appropriate place, and performs other related activities.
  • Activates pagers, gives voice or secure text messages and communicates overhead announcements.
  • Pages physicians and their assistants for floors, other doctors, doctor’s offices and WTH personnel.
  • Contacts fire department, police, funeral homes, organ donor services and works in conjunction with the Security Department.
  • Notifies dedicated technician for emergency equipment needs after contract hours.
  • Provides information and direction to visitors and the public, answering inquiries in accordance with administrative policies, regarding divulging of confidential information.
  • Performs the duties of the Information Desk and the Critical Care Coordinator when those staff is unavailable to answer calls.
  • Relates appropriate information to volunteers and employees.
  • Establishes a constructive working relationship with callers, physician offices, clients and other team members.
  • Maintains all required records.
  • Establishes work area for optimum level of organization, efficiency and neatness.
  • Demonstrates reliability and dependability by behavior and appearance.
  • Performs related responsibilities as required or directed.
  • Immediately communicates 23 Codes, alerts and drills related to life threatening situations, fire or severe weather and document accordingly.
  • Immediately actives and communicates with on call teams for surgical and procedural areas after hours with the basic knowledge of scheduling for the GI Lab, Cath Lab, Surgery, Anesthesia, PACU, CRNA’s, and Echo Lab.
  • Responsible for handling Notification of Deaths and disposition of bodies, including frequent communication with funeral homes and Tennessee Donor Services regarding holds and the release of the body.
  • Performs all responsibilities associated with The Jackson Clinic after hours answering service including obtaining appropriate information from patients and contacting the correct specialty on call.
