About The Position

Nevada City School of the Arts (NCSOTA), a TK-8 charter school in operation since 1994, is seeking a dynamic, culturally aware, stimulating, and highly qualified Independent Study Coordinator to join our team. The Independent Study Coordinator is responsible for the oversight, coordination, and compliance of the school's Independent Study (IS) program. This position ensures adherence to state and local Independent Study laws and regulations, protects ADA funding, supports instructional staff, and serves as the primary liaison for students and families participating in Independent Study. The Coordinator works collaboratively with administrators, teachers, attendance staff, and families to ensure that Independent Study is implemented with fidelity, instructional rigor, and fiscal integrity.

Requirements

  • High school diploma or equivalent work experience (classified)
  • Knowledge of Independent Study laws, attendance accounting, and compliance requirements
  • Strong organizational, documentation, and communication skills
  • Ability to work collaboratively across instructional and operational teams
  • Minimum 2 years relevant work experience
  • Ability to prioritize, multi-task, and complete projects in a high volume office environment
  • Fingerprint and Background clearance
  • Valid Tuberculosis clearance and every four years thereafter
  • Completion of mandatory training (video & in-person) within 6 weeks of employment and every year thereafter

Nice To Haves

  • Experience with Independent Study programs or compliance-driven educational programs
  • Familiarity with student information systems and attendance reporting
  • Experience with supporting families and coordinating across departments
  • Ability to analyze data and identify compliance or instructional risks

Responsibilities

  • Ensure all Independent Study agreements meet statutory and regulatory requirements, including timelines, instructional minutes, signatures, and documentation.
  • Monitor enrollment, duration, renewals, and exits from Independent Study.
  • Conduct regular audits of Independent Study files to ensure ADA defensibility.
  • Maintain accurate, organized, and audit-ready Independent Study records.
  • Serve as the site lead for Independent Study compliance reviews and audits.
  • Coordinate with attendance and business services staff to ensure accurate attendance accounting.
  • Track work completion and teacher certification for attendance purposes.
  • Identify and resolve missing or noncompliant documentation in a timely manner.
  • Generate attendance, enrollment, and participation reports for site and district leadership.
  • Support teachers in the development of compliant and standards-aligned Independent Study assignments.
  • Monitor student progress and communicate concerns regarding engagement or completion.
  • Coordinate instructional transitions between in-person instruction and Independent Study.
  • Ensure Independent Study practices align with board policy, master agreements, and instructional expectations.
  • Serve as the primary point of contact for students and families participating in Independent Study.
  • Provide orientation and ongoing communication regarding expectations, timelines, and responsibilities.
  • Address concerns related to workload, pacing, reentry, or participation.
  • Support equitable access and consistency across Independent Study placements.
  • Develop and maintain site-level Independent Study procedures and guidance.
  • Recommend improvements to workflows, policies, and staffing related to Independent Study.
  • Analyze participation and outcome data to inform program effectiveness.
  • Support strategic use of Independent Study for attendance recovery, student retention, and continuity of learning.
  • Support Teachers and parents with the purchasing of curriculum.
