Job Summary This position is primarily responsible for providing resident services to Independent Living Residents which include direction and oversight of all Resident Services functions, ensuring that family members are apprised of resident care needs, and providing transition guidance to residents when appropriate, and maintaining the Resident Handbook. This position is also responsible for developing and maintaining compliance with CARF-CCAC standards, as well as continuous process improvement.

Requirements

  • Bachelor's degree required, Master's degree preferred with a minimum of five years in related field of management, preferred.
  • Incumbent should be able to apply common sense understanding in order to carry out instructions furnished in written and oral form, possess high-quality verbal and written communication ability, proficient customer service and interpersonal skills, detailed oriented demeanor and capable of handling community relations, and skilled in public speaking.
  • Must be skilled in the operation of computer applications such as Microsoft Office, EHR and other such productivity tools as required.

Responsibilities

  • Under the Direction and guidance of the Executive Director, the Independent Living Administrator is responsible for overall operations of Resident Services.
  • Directs and manages in partnership with the Ingleside Manager of Accreditation and Quality Improvement, all aspects of CARF-CCAC compliance and accreditation process.
  • Direct and/or serve as Incident Command during emergency situations in partnership with Director of Plant Operations.
  • Direct and manage Concierge services.
  • Direct and manage Volunteer Services.
  • Direct and manage Transportation services.
  • Direct and manage Independent Living Social Work program.
  • Direct and manage Salon services.
  • Directs and oversees Fitness services.
  • Lead the Resident Review Team in partnership with IL Social Worker.
  • Lead the Manager on Duty program.
  • Direct and manage the Accessibility Program and Plan.
  • Oversight of management of A/V equipment, resident website content, in-house TV channel.
  • Act as leadership liaison to Resident Council/Association and other Resident Committees as directed.
  • Participate in the Senior Leadership Team which includes meetings; strategic planning; budget management; process improvement, policy review, etc.
  • Present at the New Employee Orientation / Monthly Annual Training (NEOMAT) each month.
  • Oversight of community common spaces and amenities, (pool, fitness center, performance spaces, classrooms, card/game room, etc.), ensuring that they are orderly and in good repair.
  • Ensure compliance with tenancy policy.
  • Enable effective transitions for all new residents.
  • Partner with residents in publishing the Resident Newsletter.
  • Maintain Resident Handbook.
  • Oversees the update and maintenance of resident demographic information in electronic medical records.
  • Maintain confidential resident files.
  • Lead the CARF-CCAC re-accreditation preparation and survey process.
  • Maintain compliance with CARF-CCAC standards.
  • Implement and maintain continuous process improvement plans.

  • Responsible for maintaining appropriate staffing.
  • Maintain payroll and timesheets for all staff.
  • Prepare departmental annual budget for Executive Director approval.
  • Ensure on-going training and cross-training as appropriate.
  • Conduct quarterly performance evaluations for direct reports.
  • Assure that staff follows established policies and procedures at all times.
  • Screen, interview, and hire new staff on an as needed basis.
  • Review job descriptions and departmental policies and processes on an annual basis and make recommendations accordingly.
  • Maintains professional presence when representing Ingleside exhibits degree of professionalism consistent with standards in performance, behavior, and appearance.
  • Maintains resident confidentiality and privacy at all times according to policies and procedures; uses discretion when discussing confidential matters.

  • Reports any injury of resident, visitor, or employee immediately to supervisor or other appropriate personnel
  • Provides assistance to residents, visitors, or employees in an emergency situation, following the proper emergency procedures.
