About The Position

Intelligent Technical Solutions (ITS) is seeking a responsive and detail-oriented Inbound Coordinator to serve as the first line of contact for inbound sales and marketing inquiries. This role ensures all inbound leads are properly captured, routed, documented, and followed up on. The Inbound Coordinator manages CallRail, routes calls to appropriate team members, pulls lists, supports sales administration tasks, and handles marketing-related operational requests such as business cards and email signatures. The ideal candidate is organized, customer-focused, tech-savvy, and attentive to detail.

Requirements

  • 2–4 years of administrative or marketing coordination experience
  • Experience with CallRail or call tracking platforms preferred
  • Familiarity with CRM systems (HubSpot preferred)
  • Strong phone communication skills
  • High attention to detail
  • Organized and process-driven
  • Proficient in Microsoft Office or Google Workspace
  • A home office set up that meets the following: Windows 11 with an Intel i5 or i7 (8th generation or newer), or AMD Ryzen 5 or 7 (2000 series or newer), or macOS 12 or newer.
  • Computer: A working computer with a minimum of 8GB RAM and one of the following:
  • Internet: Stable internet connection with at least 5 Mbps download and upload speeds.
  • Audio Equipment: A quality headset with a noise-cancellation feature for meetings.
  • Mobile Device: A smartphone capable of installing the Microsoft Authenticator app.
  • Webcam: An HD webcam for video calls.
  • A very strong cultural fit the ITS way (Our core values will be discussed during the interview)
  • Excellent command of the English language both spoken and written
  • Able to work full time 40 hrs. a week: 8:00 AM to 5:00 PM PST (Monday to Friday)
  • Able to pass our online behavior and cognitive assessments.

Responsibilities

  • Answer and qualify inbound sales calls
  • Log call details in CRM
  • Tag and categorize calls in CallRail
  • Identify and flag Marketing Qualified Leads (MQLs)
  • Route calls to appropriate sales representatives
  • Manage CallRail tagging and reporting
  • Audit call recordings for quality and qualification
  • Maintain accurate tracking of inbound lead sources
  • Provide weekly inbound performance reports
  • Pull and segment lists as requested
  • Route inbound leads to correct territories or reps
  • Monitor abandoned or missed calls and follow up
  • Manage business card ordering requests
  • Coordinate email signature setup and updates
  • Support sales team with administrative lead tasks
  • Maintain contact data accuracy
  • Track inbound metrics (calls, form fills, appointments set)
  • Support marketing reports related to inbound performance
  • Escalate urgent opportunities promptly
