About The Position

The Imaging Services Representative performs a variety of skilled and complex clerical functions using a computer and the Imaging Service Department and Hospital Information Systems. This role greets and takes care of the needs of our internal and external customers, collects appropriate data to correctly provide the customers with the requested services, and interviews patients to obtain demographic and financial data. The representative creates patient records and/or enters physician orders in the computer, receives visitors and telephone calls, and refers callers to the appropriate department or staff member. They take action to resolve problems that may arise in their interaction with patients and physicians while dealing with confidential information in accordance with hospital policy.

Requirements

  • Computer skills with the ability to understand computer commands and utilize Personal Computer using available software.
  • Proficiency utilizing keyboard and mouse and document scanner.
  • General knowledge of human anatomy and physiology, medical terminology.
  • Ability to read physicians' orders and prescriptions.
  • Effective communication skills in oral and written form.
  • Good command of the English language.
  • Ability to utilize departmental telephone/PA system to communicate with employees, physicians, and hospital staff.

Responsibilities

  • Obtains accurate and relevant information from patients, physicians, physician's offices, payors, and attorneys.
  • Uses the information and data collected to provide the customer with the service requested in an accurate and efficient manner.
  • Interacts constantly and efficiently with the Hospital Information System and/or Radiology Information System to perform job duties.
  • Determines consistency and completeness of the obtained data in forms and records; initiates or takes action to resolve problems; and adjusts data before processing.
  • Retrieves and inputs data into computerized registration system while verbally asking questions and receiving responses.
  • Visually reviews patient's record to verify accuracy of data on pre-registered accounts.
  • Scans appropriate documents into the radiology information system using the document scanner.
  • Gives and receives detailed information regarding interrelated departmental activities, policies, and/or procedures to employees and the public via telephone or personal contact.
  • Deals discretely with sensitive, confidential patient information in accordance with hospital policy.
  • Keeps patients, physicians, and staff informed about potential problems or delays in the service requested.
  • Assists with the orientation and training of new employees to clerical procedures, operation of equipment, location of supplies, etc.
  • Maintains a clean, orderly, quiet environment within the department with special attention to assigned workstation and patient waiting area.
  • Attends departmental and clerical staff meetings and participates in oral discussions.
  • Maintains departmental resource material up-to-date and in easily retrievable formats.
  • Maintains adequate inventory of office supplies reordering only as needed.
  • Operates office machines such as document scanner, photocopiers, fax, and computers.
