About The Position

We are seeking an experienced HVAC Estimator to join our Facility Maintenance team. This role is responsible for preparing accurate cost estimates for HVAC installation, repair, replacement, and maintenance projects across commercial and industrial facilities. The ideal candidate combines technical HVAC knowledge with strong analytical skills to support our business development and project planning efforts. Ability to work with and push back on Vendors when discrepancies in pricing and scope come up.

Requirements

  • Associate or bachelor’s degree in mechanical engineering, Construction Management, or related field preferred
  • Minimum 3-5 years of HVAC estimating experience in commercial or industrial environments
  • Proven track record of preparing accurate and competitive estimates
  • Experience with facility maintenance, service, and retrofit projects strongly preferred
  • Comprehensive understanding of HVAC systems including chillers, boilers, air handlers, RTUs, and controls
  • Knowledge of ductwork, piping systems, and HVAC distribution methods
  • Familiarity with building codes, ASHRAE standards, and industry best practices
  • Understanding of mechanical drawings, blueprints, and specifications
  • Knowledge of energy efficiency programs and rebate opportunities
  • Proficient in estimating software (e.g., McCormick, Trimble, Bluebeam, or similar)
  • Advanced skills in Microsoft Excel for cost analysis and calculations
  • Ability to read and interpret mechanical plans, P&IDs, and construction documents
  • Strong mathematical and analytical skills with attention to detail
  • Excellent written and verbal communication skills
  • Time management skills with ability to handle multiple estimates simultaneously
  • Problem-solving abilities and critical thinking
  • Experience with takeoff software and digital plan review tools
  • Proficiency in CAD software (AutoCAD, Revit) a plus
  • Familiarity with project management and CRM systems
  • Comfortable learning new software and technology platforms
  • Ability to work at a computer workstation for extended periods
  • Capable of conducting site visits including walking, climbing ladders, and accessing mechanical rooms
  • Ability to lift and carry estimating materials and equipment up to 25 pounds
  • Valid driver's license and reliable transportation for site visits

Nice To Haves

  • LEED AP or other green building credentials
  • Previous field experience as HVAC technician or installer Preferred
  • Experience with design-build or plan-and-spec projects
  • Certified Professional Estimator (CPE) designation Preferred

Responsibilities

  • Review project plans, specifications, and scope of work documents for HVAC projects
  • Conduct detailed quantity takeoffs and material calculations for equipment, ductwork, piping, and controls
  • Prepare comprehensive cost estimates including labor, materials, equipment, subcontractors, and overhead
  • Develop competitive bid proposals for new construction, retrofit, and replacement projects
  • Create detailed scope of work documents and project specifications
  • Ensure estimates comply with relevant codes, standards, and client requirements
  • Conduct on-site visits to assess existing HVAC systems and facility conditions
  • Measure and document field conditions, equipment specifications, and installation requirements
  • Identify potential challenges, risks, or additional scope items during site surveys
  • Take photographs and create field sketches to support estimate development
  • Evaluate access requirements, working conditions, and logistical considerations
  • Solicit and evaluate quotes from equipment suppliers, manufacturers, and subcontractors
  • Maintain relationships with vendors to ensure competitive pricing and product availability
  • Review and compare equipment options, specifications, and pricing
  • Negotiate pricing and terms with suppliers when appropriate
  • Stay current on new products, technologies, and pricing trends
  • Work closely with sales team, project managers, and technical staff on project opportunities
  • Attend pre-bid meetings, site walks, and client presentations as needed
  • Review client requirements and clarify scope questions before bidding
  • Provide technical support and estimation guidance to field operations team
  • Communicate value engineering options and cost-saving alternatives to clients
  • Maintain organized estimate files with all supporting documentation and calculations
  • Track bid results, win/loss ratios, and pricing competitiveness
  • Update and maintain cost databases, unit pricing, and historical project data
  • Prepare estimate summaries and presentations for management review
  • Ensure accuracy and completeness of all proposal documents before submission
