We’re hiring an HVAC Dispatcher to support our expanding service operations. This role is essential to ensuring smooth communication between customers, field technicians, and internal teams. The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic setting where customer satisfaction and team coordination are top priorities.

Requirements

  • Experience: 1–3 years in dispatching, customer service, or administrative support; HVAC or trade service industry preferred.
  • Tech Proficiency
  • Communication Skills: Professional, clear, and confident—both verbal and written.
  • Organization & Accuracy: Strong multitasking, time management, and data entry skills.
  • Problem Solver: Calm under pressure, resourceful, and solution-focused.

Responsibilities

  • Schedule Service Appointments: Coordinate and dispatch HVAC technicians for service calls, maintenance, and installs.
  • Customer Communication: Serve as the primary point of contact—answering calls, providing updates, and resolving issues promptly and professionally.
  • Monitor Job Progress: Track technician schedules and job completion, ensuring timely service and clear communication.
  • Prioritize Requests: Triage service calls based on urgency and technician availability.
  • Coordinate Updates: Relay real-time updates and instructions to technicians in the field.
  • Maintain Service Logs: Accurately log service details and updates in dispatching software.
  • Handle Emergencies: Respond to urgent issues with quick, reliable solutions.
  • System Proficiency: Use scheduling and CRM software to manage workflow and generate service reports.
  • Customer Satisfaction: Follow up to ensure client expectations were met and address concerns as needed.
