The HVAC Dispatcher is responsible for managing field schedules, assigning jobs to technicians, and optimizing routing. This position also handles administrative tasks for ongoing projects, including permits, inspection scheduling, and client communication. The dispatcher serves as the central communication hub for field technicians, providing job details and timely updates, and interacts with customers both online and over the phone to address inquiries and ensure satisfaction. Key duties include maintaining up-to-date records, collaborating with field technicians on customer relations, performing data entry for purchase orders and estimates, and coordinating rapid responses for emergency or last-minute service requests. The role requires proficiency in Service Titan software and communication tools to optimize operations, along with clear communication, active listening, and adaptability in a fast-paced environment.

Requirements

  • Three years of customer service and/or field service logistics experience.
  • Strong Computer skills – MS Office, database management, etc.
  • Clear, confident, & effective communicator over the phone (with customers) and in person (with team).
  • Strategic thinker who possesses the ability to anticipate problems and find solutions.
  • Strong organization skills with attention to detail.
  • Good time-management, possessing the ability to balance priorities.
  • Self-starter and able to work successfully without supervision.
  • Competitive, ambitious and results oriented, energized by achieving and exceeding goals.

Nice To Haves

  • Preferred three years of experience in home services/construction
  • ServiceTitan experience preferred

Responsibilities

  • Manage field schedules, assign jobs to technicians, and optimize routing.
  • Handle administrative tasks for on going projects, i.e. Permits, Inspection Scheduling, Client Communication.
  • Answering the phones and inbound emails.
  • Act as the central communication hub for field technicians, providing them with job details and timely updates.
  • Address client inquiries both online and over the phone, ensuring they are informed and satisfied from service start to finish.
  • Maintain up-to-date records, from job statuses to client databases.
  • Working with field techs to ensure positive customer relations, data entry including but not limited to entering purchase orders and preparing estimates and invoices.
  • Coordinate rapid responses for any emergency or last-minute service requests.
  • Utilize Service Titan software and communication tools to optimize operations.
