The Human Resources Operations Coordinator provides comprehensive support to the Chief Human Resources and Payroll Services Officer, managing various administrative tasks and operations within the Human Resources & Payroll Services Department. This role involves handling confidential information, managing employment data, and ensuring compliance with collective bargaining agreements while enhancing workflows and customer service within the department.

  • Handle highly confidential information and perform administrative tasks for the Chief Human Resources and Payroll Services Officer.
  • Provide daily office management and operations including front office needs and HR records management.
  • Assist with updating policy within the department.
  • Analyze and recommend solutions to workflows, policy, and areas needing attention for continuous improvement.
  • Serve as a frontline customer service representative and monitor the Human Resources email for inquiries.
  • Assist with related correspondence to staff, faculty, and internal and external constituents.
  • Update and maintain employment data via Human Resources Systems, databases, and spreadsheets.
  • Maintain electronic personnel files and assure timely processing of performance evaluations per collective bargaining agreements.
  • Manage the hiring process via the university job site, including posting positions and assisting search committees.
  • Provide training and assistance to supervisors/jobsite users and troubleshoot issues.
  • Advertise positions on external websites as requested and maintain official university organizational charts.
  • Assist with edits and revisions of departmental manuals, employment forms, and electronic links.
  • Create and track personnel action workflows and provide personnel notification reports for Board of Trustees packets.
  • Assist with administrative support for organizing and scheduling professional development trainings/events for HR/Payroll services.
  • Assist with the department budget including online requisitions and reports for HR/Payroll Office.
  • Monitor and maintain the Human Resources and Payroll Services web page; including forms, resources, university policies, and employment opportunities.
  • Order supplies for the division and coordinate catering needs.
  • 3-5 years of full-time or equivalent part-time administrative experience in a confidential, high-volume work environment.
  • Bachelor's Degree in Business Administration or related field is a plus.
  • Ability to work within a diverse work environment while providing excellent customer service.
  • Experience in Human Resources preferred, especially within a collective bargaining agreement environment.
  • Excellent oral and written communication skills, interpersonal skills, and organizational skills.
  • Proficient in Microsoft Office products; experience with Banner and HRCMS preferred.
  • Ability to manage complex processes and concurrent projects with attention to detail.
  • Ability to work with minimal supervision in a team setting.
  • Experience interpreting employment policies and procedures as required by law and union agreements.
  • Solid technical skills and ability to develop and maintain databases and produce reports.
