The Human Resources Coordinator at Swift Institute plays a vital role in supporting the HR department by managing various clerical and administrative tasks related to the hiring process, onboarding, and employee management. This position ensures the smooth operation of HR functions and assists in maintaining employee records and compliance with organizational policies.

  • Coordinates the hiring process with hiring managers, including processing job requisition forms and posting open positions.
  • Manages the new hire process: sending offer letters and packets, following up on background checks, drug screens, and verification of I-9 documents.
  • Schedules onboarding and corporate New Employee Orientation for new hires.
  • Creates and maintains employment badges.
  • Administers the new hire paperwork process and coordinates the pre-employment process for all employees, ensuring the integrity of employee information in the HR system.
  • Oversees the transition of transferring employees and changes in employment status.
  • Responds to requests for verification of employment and other general requests.
  • Anticipates needs by gathering records, reports, correspondence, or other specific information and assists in preparation for meetings.
  • Composes correspondence and distributes it to the appropriate individuals.
  • Maintains job description database for all employees.
  • Assists in ad hoc projects for and with the HR team.
  • Prepares various documents and handles confidential matters in accordance with policies and procedures.
  • Responsible for receiving, sorting, and distributing HR mail, as well as signing off on deliveries.
  • Organizes special events and manages special projects as necessary.
  • Assists with the completion of payroll.
  • High school diploma or GED required; Bachelor's degree preferred.
  • 6 months of human resources experience required.
  • Minimum two years of administrative experience, including one year in the healthcare field.
  • Experience with recruitment and hiring practices preferred.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Knowledge of organizational policies, procedures, and systems.
  • Knowledge of office management techniques and practices.
  • SHRM/PHR Certification preferred.
