About The Position

The Human Resources Coordinator/Executive Assistant provides dual support to both the Human Resources function and the CEO, ensuring smooth daily operations across the organization. This role involves assisting with onboarding and offboarding, managing training logistics, providing benefits and payroll support, coordinating employee engagement activities, and liaising with HR vendors and partners. Additionally, the position manages executive-level administrative support for the CEO, including complex calendar management, meeting preparation, travel arrangements, expense processing, and handling communications. Success in this role requires a strong attention to detail, excellent prioritization skills, a proactive and flexible mindset, and a people-first approach that aligns with the company culture. This position is ideal for an adaptable HR or administrative professional with at least two years of experience who thrives in a dynamic, collaborative environment.

Requirements

  • Proficiency in Microsoft 365 and HRIS/timekeeping systems.
  • Basic understanding of CA labor law and leave policies.
  • High attention to detail and strong prioritization skills.
  • Proactive problem-solving abilities.
  • Strong communication skills and ability to maintain confidentiality.
  • Comfortable with technology and rapid learning.

Nice To Haves

  • Experience in executive support, enhancing efficiency in managing the CEO’s calendar and meetings.
  • Experience with payroll systems and ATS platforms.
  • Project management and strong computer skills.
  • Prior experience in employee engagement, culture initiatives, or event coordination.

Responsibilities

  • Assist with onboarding and offboarding processes.
  • Coordinate training logistics and HR administration tasks.
  • Provide benefits and payroll support, including timecard audits and discrepancy resolution.
  • Organize culture and engagement activities such as birthdays, holiday events, and sales meetings.
  • Liaise with vendors and partners, including benefits brokers and HR service providers.
  • Manage CEO's calendar, meetings, travel arrangements, and expenses.
  • Facilitate recruiting coordination, including scheduling, postings, and candidate communication.
  • Maintain confidentiality and handle complex communications on behalf of the CEO.
