About The Position

Under the direct supervision of the HR Manager for Recruiting, Compensation, and HRIS, the Human Resources Coordinator supports and facilitates core HR operations. This role serves as a key liaison among students, staff, and leadership to promote efficient, compliant, and service‑oriented HR practices. In addition, the Human Resources Coordinator serves as the primary point of contact for the Human Resources office, delivering a polished, welcoming, and professional front‑of‑house experience while managing inquiries, coordinating communications, and directing stakeholders to appropriate resources. The role also provides comprehensive administrative support across the HR function, including student and nonstudent hiring and recruiting initiatives.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience
  • Affirmation of and commitment to the mission, values, and Christian faith statement of Moody Bible Institute, with the ability to support and represent the Institute’s mission through daily work
  • Demonstrated ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment
  • Strong verbal and written communication skills, with the ability to interact professionally and graciously with students, faculty, staff, and leadership
  • Demonstrated customer service mindset with excellent interpersonal skills and a welcoming, service‑oriented approach
  • Proven ability to manage multiple priorities, and work effectively in a detail‑oriented environment
  • Experience with office administration, HR support, or customer‑facing roles
  • Proficiency with Microsoft Office, particularly Word and Excel; comfort learning new systems and technologies
  • Authorized to work in the US without sponsorship

Nice To Haves

  • Experience in using or supporting HR systems, such as Applicant Tracking Systems (ATS) or HRIS platforms
  • Working knowledge of human resources principles, employment practices, and confidentiality standards

Responsibilities

  • Serve as the primary point of contact for the Office of Human Resources by maintaining continuous front desk reception, responding to inquiries by phone, email, and in person, and directing students, employees, and visitors to appropriate HR resources.
  • Administer the student employment program, including posting and maintaining positions, onboarding student employees, managing documentation and employment status, and responding to student employment inquiries.
  • Ensure student employment compliance by tracking required paperwork, communicating onboarding and work authorization requirements, notifying students and supervisors of incomplete documentation, and restricting work activity until requirements are met.
  • Support recruiting activities for non‑student positions by posting jobs, scheduling interviews, coordinating candidate communications, collecting references, and assisting with assessments.
  • Assist new hires with employment onboarding by collecting, verifying, and processing required documentation (e.g., I‑9, W‑4, and related forms) in accordance with employment regulations.
  • Provide administrative and clerical support across HR functions, including Employment Services, Benefits, Learning and Development, and the Office of the Vice President of Human Resources.
  • Support HR operations and communications by managing mail and logistics, distributing HR correspondence, sending routine Institute‑wide recruiting and employment communications, and completing related duties and special projects in support of the mission of Moody Bible Institute.
  • Perform other duties as assigned.
