About The Position

The Human Resources Assistant will be responsible for a variety of HR duties, payroll and leave management, and office management tasks within the International Center. This role involves processing hires and terminations, coordinating interviews, preparing HR transactions, managing onboarding schedules, and communicating HR policies. Additionally, the assistant will support payroll processes and maintain office management tasks such as key management and organizational chart updates.

  • Proficiency in Microsoft Office Suite and HR software systems.

Responsibilities

  • Process all levels of hires and terminations within the International Center, including TEAMS, OPS, Faculty, Student Assistants, Graduate Assistants, and foreign nationals.
  • Coordinate interviews for all UFIC units including scheduling, communication, reserving parking pass and conference room and maintaining Page Up with candidates' status.
  • Prepare HR transactions, including recruitment, hires, position updates, terminations, retirement, leave cash outs, I9 reverifications and additional pay, etc.
  • Maintain Visa Expiration report and generate other HR reports as needed.
  • Manage new hire onboarding schedule and tasks such as ordering Gator 1 cards, issuing room keys, ordering of name tags/name plates and business cards. Create welcome packets for new hires and assign mailbox.
  • Schedule exit interviews for departing staff, collect any UF/UFIC property such as keys, PCard, laptop, nametag, Gator1 card.
  • Communicate and interpret human resources policies and procedures for managers and employees.
  • Process faculty lump sum payments for study abroad programs, including hiring and terminating as necessary.
  • Assist HR Generalist II with open enrollment, FMLA requests, ELOA's and leave cashouts.
  • Attend monthly UFHR Forums if HR Generalist II cannot attend.
  • Assist HR Generalist II with bi-weekly time and labor process, which includes email communication to staff and supervisors, reviewing preliminary paylists, and meeting deadlines.
  • Assist with answering questions and troubleshooting leave discrepancies and questions for departmental employees. Work with Central Leave in making leave adjustments.
  • Enter and change payroll distributions communicated by Finance Manager.
  • Complete forms and maintain file for leave pay-outs for departing TEAMs, USPS, and Faculty employees. Ensure payment of same.
  • Maintain master key log, request new keys as needed, issue keys to new hires and collect keys from departing employees.
  • Maintain UFIC org chart and employee lists in collaboration with HR Generalist II.
  • Assist with special projects assigned by the Dean or Director.
  • Submit work requests for building issues (facilities and pest control).
