The Human Resources & Payroll Administrator serves as the first point of contact for the HR office, responsible for the day-to-day operations and administrative functions. This role requires a highly tech-savvy professional with the ability to navigate multiple digital platforms, automate processes, and enhance efficiency through AI-powered tools. Key responsibilities include maintaining the HRIS employee database, processing employee transactions (new hires, transfers, tax withholding changes, etc.), managing company-wide communications, and overseeing payroll processing. This role also involves creating digital experiences across various systems, ensuring seamless integration and engagement for employees.

  • Produce and distribute flyers on company bulletin boards.
  • Keep all cafeteria bulletin boards and PowerPoint current.
  • Maintain the ADP portal homepage, employee Instagram, mobile and email communications.
  • Manage gym memberships, bus passes, ski passes, shoes order, uniform and locker distributions.
  • Send employee Birthday & Anniversary cards and gift cards.
  • Organize nominees and create awards for Employee of the Month & Manager of the Quarter programs.
  • Create and distribute employee events calendar and monthly newsletter.
  • Assist with Employee Engagement & Recognition programs.
  • Manage and update PowerPoint and ADP employee portal.
  • Assist with Wellness points tracking.
  • Assist employees with any HR related inquiries.
  • Maintain, organize, and order office supplies.
  • Maintain a list and copies of driver's license for all employees authorized to operate company vehicles.
  • Schedule trips to Social Security office for new visa employees.
  • Bi-monthly deposits of any cash or checks collected in HR.
  • Assist with invoicing and bill payment.
  • Ensure filing is done on a weekly basis.
  • Complete special projects as requested by HR Leadership.
  • Assist other employer and mortgage companies in verifying employment.
  • Complete all written employment verifications received according to company policy.
  • Identify and implement AI-driven solutions to optimize HR and payroll processes.
  • Leverage automation tools to streamline workflows in HRIS, payroll, and employee communication systems.
  • Ensure seamless integration between HRIS (ADP), communication platforms, and employee engagement tools.
  • Analyze and visualize HR data using AI-powered analytics.
  • Train and support HR and employees on adopting AI tools and automation solutions.
  • Greet applicants and answer questions relating to available jobs.
  • Assist with recruiting and onboarding process.
  • Verify I-9 documentation and ensure all onboarding pieces are completed.
  • Respond to e-mail and phone inquiries requesting more info/application.
  • Assist new hires and rehires in completing electronic paperwork.
  • Accurately enter into ADP all new hires, rehires, transfers, and changes.
  • Maintain a file with completed I-9 for all active employees.
  • Provide access to new employees to Clear Company, ADP, and SonnenalpU.
  • High School Diploma or equivalent (GED) required.
  • Human Resources Degree or one-year minimum HR experience preferred.
  • Skilled in content creation, digital messaging, and managing internal communication platforms.
  • Attention to detail and strong organizational skills essential; ability to multi-task.
  • High degree of confidentiality.
  • Strong knowledge of HRIS (ADP preferred), payroll systems, and compliance requirements.
  • Strong computer skills required.
  • Experience with ADP or other HRIS helpful.
  • Moderate to advance proficiency with Microsoft Word, Excel, and Power Point required.
  • Bi-lingual (Spanish/English) helpful.
