This is a full-time position working 40 hours a week, Monday-Friday 8:00am - 5:00pm. The Entry Level HRIS Specialist provides essential support to the Senior HRIS Analyst in administering, maintaining, and optimizing the credit union’s Human Resource Information System (HRIS) and related HR technology platforms (e.g., payroll, time & attendance, benefits, talent acquisition, performance, and compensation systems). This role assists with maintaining data accuracy, security, reporting, and workflow efficiency throughout the employee lifecycle. Working closely with HR, Payroll, Finance, IT, Compliance, and business leaders, the HRIS Specialist helps sustain member centric operations, regulatory compliance, and continuous system improvement. The role contributes to system support, documentation, testing, and release activities to help maintain a stability, compliant, and user friendly HR technology environment.

Requirements

  • EDUCATION / CERTIFICATION Bachelor’s degree in human resources, Information Systems, Business, Data Analytics, or a related field; or an equivalent combination of education and relevant experience.
  • REQUIRED KNOWLEDGE Basic understanding of HR data models (employees, positions, jobs, grades, org structure), workflows, and effective dated records. Familiarity with data auditing, mass data updates/imports (CSV/EIB), and role based access control. Basic knowledge of integrations (SFTP/API), file formats, and reconciliation practices. Strong Excel skills (lookups, INDEX/MATCH/XLOOKUP, pivot tables, conditional logic) and comfort creating documentation.
  • EXPERIENCE REQUIRED 1–2 years of experience in HRIS administration, HR operations, or related technical/HR support role. Experience supporting HRIS modules such as payroll/time, benefits, talent acquisition, performance, or compensation (e.g., UKG, Workday, Paycom, ADP). Experience with report writing tools (SQL basics, HRIS report writers, Excel Power Query/Power Pivot, BI tools) and system testing.
  • HARD / TECHNICAL SKILLS & ABILITIES HRIS Configuration & Administration: Ability to support configuration, maintenance, and troubleshooting of HRIS modules while ensuring alignment with credit union policies and regulatory needs.
  • Data Accuracy, Auditing & Governance: Skill in validating HR data, assisting with audits, managing data loads, and maintaining integrity across systems.
  • Regulatory & Compliance Awareness: Foundational understanding of HR and payroll regulations (FLSA, FMLA, EEO, ADA, ACA, HIPAA) within a regulated financial environment.
  • Workflow & Process Optimization: Ability to analyze HR workflows and support improvements that increase efficiency and accuracy within the HRIS.
  • System Security & Access Management: Skill in assisting with user role management, access control, and SoD principles.
  • Testing & Release Support: Ability to perform test scripts, document results, identify issues, and support smooth system updates.
  • Documentation & SOP Development: Ability to create clear system documentation, SOPs, job aids, and governance materials.
  • Communication & Collaboration: Strong communication skills; able to work closely with HR, Payroll, Finance, IT, Compliance, and branch leaders while supporting the Senior HRIS Analyst.
  • Continuous Learning & System Adaptability: Willingness to learn new HRIS functionality, tools, and regulatory updates that influence system administration.

Responsibilities

  • System Administration & Data Integrity Assist the Senior HRIS Analyst with configuration and maintenance of HRIS structures (fields, tables, security roles, workflows, business rules, integrations) across all HR modules. Support data governance tasks including audits, data loads, and recurring reconciliations to ensure accuracy and consistency. Monitor job schedulers and third party integrations (benefits carriers, background checks, LMS, GL/Finance) and help troubleshoot data flow issues.
  • Reporting, Analytics & Compliance Create and maintain standard and ad hoc reports/dashboards for HR, leadership, Finance, and auditors (e.g., headcount, turnover, recruiting metrics, compensation, DEI). Assist the Senior HRIS Analyst and Benefits team with compliance reporting and audit preparation (EEO, ACA, 1095 C data, retirement census, state filings). Help uphold data privacy and security practices by supporting access reviews and segregation of duties monitoring.
  • Process Improvement & Release Support Support the Senior HRIS Analyst in translating business needs into HRIS configurations and performing testing for system enhancements, patches, and releases following a structured SDLC. Contribute to mapping and evaluating HR processes (hire to retire, position management, job changes, leaves, annual cycles) and identifying opportunities for automation or standardization. Maintain HRIS documentation including knowledge base content, SOPs, guides, and change logs.
  • End User Support, Training & Change Management Provide Tier 2 support for HRIS inquiries and escalate complex issues to the Senior HRIS Analyst or vendors when needed. Assist in creating user guides, training materials, and quick reference resources for HR staff, managers, and employees. Help communicate system updates, outages, release notes, and new features to stakeholders.
  • Credit Union–Specific Collaboration Help ensure HRIS configurations align with credit union policies, branch operations, and risk aware practices; support internal audits and examinations. Collaborate with Payroll/Finance on GL mapping, labor distribution, incentive cycles, and reconciliations tied to operational processes. Support Talent Acquisition workflows and assist the Compensation team during annual merit and market adjustment cycles.
