About The Position

The HRIS Specialist is a part-time role within the Human Resources team at Azusa Pacific University, responsible for managing electronic employment records for faculty, staff, and adjuncts. This position involves ensuring compliance with legal requirements, maintaining data integrity, and serving as a liaison for HRIS-related inquiries. The role requires approximately 20 hours of work per week and emphasizes collaboration with various teams to support HR functions.

Requirements

  • Bachelor's degree or equivalent work-related experience.
  • Three to five years of related experience in HRIS or data entry with an HCM system, preferably in higher education.

  • Experience with PeopleSoft, SilkRoad, ADP Vantage, HappyFox, and/or SQL.

Responsibilities

  • Manage all aspects of employee personnel files, ensuring accurate capture and storage in HRIS systems.
  • Collaborate with the Talent Acquisition team on hires, promotions, and transfers using the SilkRoad onboarding system.
  • Process and analyze employee information using Human Resources Information Systems (HRIS).
  • Enter, audit, and monitor HR data for accuracy, completeness, and consistency.
  • Process employee and organizational changes, investigating and resolving data integrity issues.
  • Communicate effectively with departments regarding employee documents and processes.
  • Create a work environment that protects data confidentiality.
  • Respond to requests from the Duplicate Committee regarding HRIS data.
  • Enter employment contract data into the HRIS system in partnership with HRIS colleagues.
  • Collaborate with IT on special system initiatives.
  • Serve as a subject matter expert for I-9 verification and oversee the process during new employee orientation.
  • Provide exit packets for faculty and staff separating from the University.
  • Respond to confidential inquiries from the Office of General Counsel and collaborate on subpoena requests.
  • Collect documents and meet with employees for personnel file reviews.
  • Respond to HRIS email account and online customer service requests in a timely manner.
  • Cross-train on all HRIS team responsibilities.
  • Develop user procedure guidelines and documentation.
  • Manage Formstack and Dropbox Sign processes for electronic employment contracts.
  • Manage PeopleSoft testing, adding new departments, combo codes, and security tree.
  • Act as a primary contact for Payroll colleagues and end-users.
  • Train HR staff and other department representatives on new processes and data retrieval.
  • Liaise with IT to identify and correct problems with electronic HR files.
  • Collaborate with Payroll on contract changes and payroll deadlines.
  • Analyze and report on system enhancements or customizations needed for improved functionality.
  • File and e-file various employment records into appropriate personnel files.
  • Perform special projects and assignments as assigned by the supervisor.
