About The Position

Our client is seeking a highly organized, reliable, and resourceful HR Coordinator & Office Manager to support both Human Resources functions and day-to-day office operations in their soon-to-open Warsaw office. This dual-role position is perfect for someone who thrives in a dynamic environment, is a natural problem-solver, and can juggle multiple priorities with discretion and professionalism.

Requirements

  • 2–5 years of experience in office management, executive support, or HR coordination.
  • Strong organizational and multitasking skills; ability to work independently.
  • Excellent interpersonal, communication, and collaboration skills.
  • Tech-savvy; proficient with Google Workspace, Slack, Zoom, Jira, or similar tools.
  • Professional, discreet, and detail-oriented.
  • Proactive problem-solver with a focus on operational excellence.
  • Experience in a fast-paced or startup environment preferred.

Responsibilities

  • Manage daily operations of the Warsaw office: supplies, vendors, facilities, and equipment.
  • Serve as the main point of contact for building management and service providers.
  • Maintain a welcoming, productive, and well-organized office environment.
  • Coordinate team events, in-office lunches, client meetings, and special projects.
  • Assist with onboarding of new employees and visitors.
  • Manage office budgets, expense reports, and vendor invoices.
  • Provide administrative and scheduling support to executives, including calendar, meetings, and travel (domestic & international).
  • Handle confidential information with discretion.
  • Coordinate emergency management planning.
  • Support recruitment efforts, including scheduling interviews and liaising with external agencies.
  • Coordinate onboarding and offboarding processes.
  • Maintain accurate employee records in Excel and HR systems.
  • Provide data for payroll processing, including attendance and leave tracking.
  • Act as a point of contact for HR-related inquiries.
  • Assist with benefits administration and employee engagement programs.
  • Support performance management cycles (goal setting, reviews, recognition programs).
  • Organize training sessions, workshops, and company events.
  • Ensure proper HR documentation and compliance with labor regulations.
  • Contribute to process improvements to streamline HR workflows.
