About The Position

Looking for a flexible opportunity to build experience in HR while making a real impact? This contract role is a great fit for stay-at-home parents ready to re-enter the workforce, college students, recent graduates, or anyone early in their career looking to gain hands-on experience in a professional setting. The HR Data Coordinator will support a critical short-term project focused on organizing, digitizing, and securing employee records. This role will be responsible for centralizing HR files and migrating records into a structured HRIS or secure digital system. The work will directly support HR compliance, operational efficiency, and the protection of sensitive employee information. The schedule offers flexibility (30–40 hours per week) with a hybrid setup, making it easier to balance other priorities while still gaining valuable, resume-building experience. The position is a temporary position with an expected duration of 3–6 months (potential to expend) and is a project-based role with a clear beginning and end, ideal for someone who enjoys structured work, staying organized, and seeing tangible results from their efforts.

Requirements

  • Bachelor’s degree (completed or in progress) in Human Resources, Information Science, Business Administration, a related field, or relevant experience
  • Strong organizational skills and attention to detail
  • Ability to manage and maintain confidential information with discretion
  • Proficiency in Microsoft Office (especially Excel, Word, and Outlook)
  • Comfort working with digital systems and willingness to learn HRIS platforms
  • Strong time management skills and ability to follow structured processes

  • Experience with data cleanup, records management, or system migrations preferred

Responsibilities

  • Review and assess current HR filing systems (both digital and physical) to identify gaps, inconsistencies, and opportunities for improvement
  • Audit and clean employee records to ensure accuracy, completeness, and alignment with retention policies
  • Standardize file naming conventions and organize records into a clear, consistent structure
  • Upload and migrate files into the HRIS or designated secure digital platform
  • Establish organized folder structures and ensure all records are centralized and easy to access
  • Conduct quality checks to verify data accuracy, proper categorization, and secure handling of sensitive information
  • Create clear documentation outlining file structures, naming conventions, and best practices for ongoing use
  • Provide regular progress updates and contribute to a final summary of completed work and recommendations for next steps
