About The Position

The HR & Data Assistant provides administrative and data support to both the Human Resources and Data & Outcomes departments. This role focuses on employee records, audit preparation, engagement logistics, data entry, documentation, and digital organization to support accurate reporting and smooth departmental operations. This position is ideal for someone who is organized, detail-oriented, dependable, and comfortable completing structured tasks while supporting multiple teams in a mission-driven environment. Within your first 90 days, you will: Maintain organized employee files (current and terminated) Support scanning, filing, and secure destruction of records according to retention guidelines Assist HR during audit seasons (May–July and Oct–Dec) by preparing requested documentation Accurately enter employee and program data into internal systems Support the Data & Outcomes Manager with data cleanup and basic reporting tasks Help organize digital folders and shared drives Assist with planning and executing employee engagement activities Follow established workflows and confidentiality standards

Requirements

  • Strong attention to detail and accuracy
  • Comfort with administrative and data-entry tasks
  • Basic computer skills (email, scanning, folders, spreadsheets)
  • Ability to follow instructions and work independently
  • Professional handling of confidential information
  • Strong organization and time management
  • Dependable and consistent follow-through
  • High school diploma or GED
  • Valid Indiana Driver’s License
  • Ability to pass background checks
  • Ability to work in-office Monday–Friday

Nice To Haves

  • Previous administrative or data support experience
  • Basic Excel or Google Sheets skills
  • Experience working with databases or tracking systems (ETO preferred)
  • Comfort organizing both paper and digital files

Responsibilities

  • HR Records & Administrative Support
  • Scan, file, organize, archive, and destroy employee records as directed
  • Support onboarding documentation and personnel file maintenance
  • Assist with HR audits by gathering, organizing, and preparing required documents
  • Support employee engagement initiatives (planning, setup, materials, attendance tracking)
  • Provide general administrative HR support as assigned
  • Data Entry & Data Support
  • Enter employee and program data accurately and on time
  • Support data cleanup projects and help identify missing or incomplete records
  • Assist with basic reporting and data exports for HR and Data & Outcomes
  • Maintain confidentiality and follow data security protocols
  • Support documentation within systems such as ETO or similar platforms
  • Digital Organization & Team Support
  • Maintain organized digital folders for HR and Data teams
  • Follow established documentation workflows
  • Communicate clearly when tasks are completed or issues arise
  • Assist with special projects during peak periods
