About The Position

University of Iowa Health Care, Internal Medicine Department, is seeking a Human Resources Coordinator to provide HR support to staff, faculty, and leadership in the Department of Internal Medicine. HR support includes but is not limited to the coordination of talent management and engagement, a broad range of HR faculty program administration, compliance monitoring, transaction processing, ad-hoc report running and analysis, and project support.

Requirements

  • A Bachelor's degree in Human Resources Management or Business Administration or related field, or an equivalent combination of education and experience.
  • At least one year of experience in human resources.
  • Excellent verbal and written communication and interpersonal skills.
  • Strong organizational and analytical skills and attention to detail.
  • Demonstrated proficiency with Microsoft Office and computer software applications.
  • Proficiency with Excel and report writing.

Nice To Haves

  • Experience in multiple HR program areas, including recruitment, performance management, employee relations, and classification and compensation.
  • Knowledge of state and federal regulations affecting human resources.
  • Ability to be organized, flexible, and multi-task in a high volume and fast-paced environment.
  • Knowledge of University policies, procedures, and HR systems.
  • Experience with analyzing large data sets.

Responsibilities

  • Assist department HR leadership in rewarding and recognizing employees.
  • Work with managers on exceptional performance award for employees, SPOT awards, career advancements and promotions.
  • Work with Senior HR Specialist to support faculty hiring.
  • Maintain new faculty applicants in AskIM, coordinate external advertisements, keep the requisition list up to date, keep the status of applicants up to date in AskIM, and initiate recruitment ballots as needed.
  • Manage faculty annual review process (January – April).
  • Assist with faculty promotions/reappointments.
  • Assist divisions with setting up mentoring committees for faculty and ensure reports are submitted in a timely manner.
  • Assist with adjunct renewal letters and appointments.
  • Initiate workflow transactions.
  • Review faculty recredentialing applications in CredentialStream, communicate with faculty to provide guidance on necessary corrections, meet regularly with faculty Senior HR Specialist to provide updates, and communicate with Clinical Staff Office as needed.
  • Facilitate faculty external Medicaid enrollment requests, review applications for accuracy, and field questions.
  • Assist with reviewing billing packet applications for faculty hires.
  • Run weekly coming due and past due compliances for staff and faculty.
  • Communicate compliance information to Divisions.
  • Trouble shoot system questions, processes licensing and credentialing, and field questions.
  • Administer specified-term appointment process, work with HR Director, Grant Accounting Office, and managers to extend appointments as needed and inform HR Director of performance concerns.
  • Oversee job shadow experiences within Internal Medicine; partner with HR Associate to ensure compliance with UI Health Care and University policies.
  • Initiate extra compensation payments for clinical providers on a monthly basis. Hospitalists’ incentive payments will typically occur every quarter.
  • Manage new hire, transfer, and exit checklists for faculty and maintain both ePersonnel files and network files including the organization of documents to be included in each file.
  • Assist in the administration of the annual staff reviews process.
  • Responsible for maintaining and administering applicable HR systems such as ELMS, ERMA, and Employee Service.
  • Maintain appropriate files in accordance with UI retention policy including utilization of the e-Personnel files.
  • Initiate badge requests.
  • Communicate with staff and provide basic 'how to' instructions and guidance regarding processes and practices such as payroll applications, compliance issues, and employment inquiries.
  • Schedule face to face meetings, initiate phone call discussions and support communication with email updates.
  • May provide training and resources to staff and faculty.
  • May provide mentorship to new HR or student staff.
  • Communicate information, within key areas of responsibility regarding operational changes that impact divisions/units; provide input on development of policies and procedures at the department level; provide feedback on changes to processes, practices and strategies.
  • In collaboration with the HR Director, identify opportunities to improve systems and processes, achieve efficiencies and/or improve service delivery.
  • Assist with planning for recognition events and celebrations.
  • Work on projects as required.
  • Run standardized compliance reports; follow up as needed to ensure compliance; take action to ensure compliance with laws, University policies and departmental expectations; follow up with assigned divisions/units to address outstanding compliance requirements.
  • Maintain database.
  • Run HR ad-hoc reports; analyze, interpret data and reports, and provide insights/trends to leadership.
  • Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties internally and externally.
