About The Position

The Human Resources Associate provides enhanced human resource operations in the Department of Radiology with a primary emphasis on recruitment and talent acquisition. This role provides advice and guidance to unit leadership and employees while supporting additional HR functions such as compliance, recognition, communication, and employee engagement. Key responsibilities include leading recruitment efforts, coordinating onboarding, managing candidate pipelines, and supporting initiatives that attract, hire, and retain top talent.

Requirements

  • A Bachelor's degree in Human Resources Management or Business Administration or related field, or an equivalent combination of education and experience.
  • Demonstrated excellent verbal and written communication and interpersonal skills.
  • Must possess strong organizational and analytical skills and attention to detail.
  • Demonstrated proficiency with Microsoft Office and computer software applications.
  • Minimum 6 months human resources experience (within last 3 years), preferably with recruitment/talent acquisition responsibilities.

Responsibilities

  • Gather data and track employee information in support of HR practices/policies within department or unit.
  • Assist in planning and organizing strategic planning functions within department or unit.
  • Communicate information, policies, and operational changes to assigned divisions/units; provide input on development of policies and procedures within the department; provide recommendations regarding changes to processes, practices, and strategies.
  • Identify opportunity to improve systems and processes, achieve efficiencies and/or improve service delivery.
  • Provide initial guidance regarding policies and practices, direct to resources for further information or documents.
  • Gather information, evaluate alternatives and respond to inquiries as directed. Respond to questions and provide resource links.
  • Assist in distributing and communicating HR updates to department leadership.
  • Communicate with staff and leadership to provide basic 'how to' instructions and guidance regarding policies and practices such as payroll applications, compliance issues, and employment inquiries.
  • Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties internally and externally.
  • Schedule face to face meetings, initiate phone call discussions and support communication with email updates.
  • Gather and compile information to support recruitment and onboarding process.
  • Track performance reviews to assure completion.
  • May assist supervisors and employees with performance management tools and resources.
  • Distribute UI Health Care Years of Service awards and University Longevity awards to supervisors for dissemination to staff; provide resources and information for effective delivery of awards.
  • Initiate ancillary appointments in ERMA and CQ, submit web request to HCIS, verify license is current, create name badge and ensure all required paperwork is received for Agency Traveler staff for the Department of Radiology.
  • Coordinate with UI Health Care Traveler and Finance on matters regarding Agency Traveler staff to ensure any issues are resolved timely.
  • Assists Department of Radiology staff regarding the Performance Review system and requirements.
  • Initiate workflow transactions including requests for flex pay, spot awards or other special compensation.
  • Support staff engagement initiatives.
  • Gather and prepare HR data as directed.
  • Support implementation of HR initiatives. Initiate transactions.
  • Maintain confidential personnel records and reports.
  • Audit Standard reports to assure completeness and accuracy of information.
  • Maintain and edit confidential personnel documents, responsible for uploading documents to ePersonnel files in HRIS for all Department of Radiology staff.
  • Complete employment verification and public service loan forgiveness forms for current and previous staff as requested
  • Responsible for workflow related transactions including: Change of Status, Transfers, Special Compensation payments, etc.
  • Assists in completion of payroll processing for the Radiology department
  • Verify and enter Certifications, Licenses, and Degree information for staff in ERMA and HRIS.
  • Follow up with managers of staff due for license renewals, compact state licenses due or other required licenses or certification for staff.
  • Maintain knowledge of human resources policies and procedures, including those covered by Regents Merit System, collective bargaining agreements and the University Professional & Scientific system.
  • Generate and distribute reports; gather information and monitor compliance requirements as directed.
  • Run HR reports, as needed; follow up to ensure compliance; take action to ensure compliance with laws, University policies and departmental expectations; follow up with assigned divisions/units to address outstanding compliance requirements.
  • Monitor licenses, performance appraisals, eCOI disclosure, Flu Campaign and Harassment Prevention. Generate and distribute reports and communications to leadership regarding compliance deadlines and staff who are not compliant.
  • Complete compliance verification documents for current Radiology staff as requested.
