About The Position

The Human Resources Assistant supports daily office operations, executive administrative needs, and core HR functions. This role serves as a front-facing representative of the Home Office while also assisting executive leadership and the Human Resources team. The ideal candidate is organized, proactive, and adaptable, with the ability to manage competing priorities in a fast-paced environment.

Requirements

  • Bachelor’s degree required (Human Resources, Business Administration, or related field preferred)
  • 1–3 years of administrative, HR, or office support experience preferred
  • Strong organizational skills with attention to detail
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to handle confidential and sensitive information professionally
  • Proficiency in Microsoft Office; experience with HRIS systems (e.g., Paycom) is a plus
  • Professional in appearance and actions
  • Logical and Critical thinking skills
  • Customer-focused with excellent written, listening and verbal communication skills
  • Infatuation with learning new technologies and systems
  • Detail oriented, professional attitude, reliable
  • Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
  • Interpersonal skills to support customer service, functional, and team mate support needs
  • Able to communicate effectively in English, both verbally and in writing
  • Mathematical and/or analytical ability for basic to intermediate problem solving
  • Specialty knowledge of systems relating to job function
  • Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines

Responsibilities

  • Greet visitors and serve as the front-facing representative of the Home Office
  • Maintain cleanliness and organization of breakrooms and common areas
  • Order and manage office, breakroom, and facility-related supplies
  • Sort incoming mail, deliver packages, and process outgoing mail
  • Coordinate with Home Office vendors and service providers
  • Support building maintenance and general facility needs
  • Prepare, send, and manage documents using DocuSign
  • Process executive expense reports accurately and timely
  • Provide ad hoc administrative and project support to executive leadership (e.g., holiday gifts, special initiatives)
  • Order and coordinate lunches and catering for meetings and events
  • Arrange business travel, including flights, accommodations, and transportation
  • Support on-site and off-site meetings and events
  • Coordinate meetings, calendars, and logistics
  • Cold-source candidates using LinkedIn, job boards, and other recruiting platforms
  • Support career fairs and recruitment-related events
  • Step in to assist during periods of high requisition volume
  • Support Home Office employee engagement and wellness events
  • Order, pack, and assemble company-wide engagement materials
  • Conduct Paycom audits and assist with HRIS data accuracy
  • Support shadowing, contractor onboarding, and new-hire onboarding
  • Assist with Open Enrollment preparation and employee support
  • Perform additional HR administrative duties as needed
