About The Position

Transdev in Longmont, Colorado is hiring an Administrative Assistant – HR & Operations. This position supports the management team with operations and HR-related responsibilities. We are seeking customer service-oriented professionals who are dedicated to safety. Application Deadline: 04/30/2026 or until the position has been filled. Requirements

  • Minimum of 2 years of HR or administrative experience
  • Intermediate to advanced proficiency in Microsoft Excel (formulas, tracking systems, data organization)
  • Excellent organizational skills with strong attention to detail
  • Ability to handle confidential information with discretion
  • Strong communication and customer service skills
  • Ability to prioritize and manage multiple deadlines in a fast-paced environment
  • Subject to a DOT drug testing and physical if applicable. DOT Regulation 49 CFR Part 40 does not authorize the use of Schedule I drugs, including cannabis, for any reason.
  • Be eligible to work in the United States without requiring sponsorship now or in the future (if based in the U.S.).
  • Successfully pass a pre-employment drug screen.

Responsibilities

  • Respond to customer inquiries and telephone correspondence in a professional and timely manner
  • Conduct phone screenings, schedule interviews, and manage applicant files
  • Schedule and follow up with applicants regarding interview status
  • Create and maintain employee personnel files for accuracy and compliance, including completion of EEO/AAP documentation and onboarding paperwork
  • Manage driver and staff FMLA tracking and maintain accurate leave records
  • Record, file, and maintain employee incident reports and disciplinary documentation in accordance with company policy
  • Track, maintain, and securely store DOT logs, ensuring proper retention and timely destruction per regulatory guidelines
  • Maintain all Form I-9 records, conduct annual I-9 audits and maintain an up to date I-9 tracking log to ensure compliance with federal requirements
  • Develop and manage Excel-based tracking tools to monitor due dates, expiration dates, compliance flag dates, and point accumulations
  • Update and maintain master employee reports, including onboarding new hires and removing terminated employees to ensure data accuracy across systems
  • Maintain and generate daily and weekly operational and client reports to support workforce planning and leadership reporting
  • Coordinate with corporate departments (Payroll, Benefits, HRIS, Compliance, etc.) to process employee status changes and data corrections
  • Other duties as required.
