About The Position

The Senior HR Assistant for Student Employees at the University of Washington's Information School provides specialized technical and human resources oversight and administrative support to the Academics HR team. This role is crucial in managing the hiring process for a significant number of hourly academic student employee appointments, ensuring compliance with university policies and state laws, and supporting the overall HR functions within the iSchool. The position emphasizes collaboration with faculty and other HR teams to facilitate effective recruitment and onboarding processes.

Requirements

  • Three years of office/clerical experience or equivalent education/experience.
  • Fluent in MS Office: Word, Excel, Outlook (or equivalent email product).
  • Excellent written and oral communication skills.
  • Demonstrated success in working with diverse populations.
  • Ability to organize and prioritize tasks effectively.
  • Detail-oriented and able to work under pressure of deadlines.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Bachelor's degree in human resources management, business, communications, psychology or similar field.
  • Experience with Human Resources Information Systems (HRIS) such as Workday or PeopleSoft.
  • Prior experience using databases and SharePoint.
  • Experience with Applicant Tracking Systems.
  • Experience with payroll processes and I-9 verification.
  • Experience working with both Union and Non-Union employees.
  • Knowledge of Federal and Washington State employment law.
  • Knowledge of University of Washington human resources policies.

Responsibilities

  • Coordinate recruitment process for hourly academic student employee hires and provide back-up support for salaried academic student employees and guest faculty hiring.
  • Collaborate with iSchool HR staff and the Office of Finance and Research Services on recruitment and hiring.
  • Draft position announcements in accordance with the UAW contract with faculty hiring managers.
  • Post open positions to the iSchool website, listservs, Handshake, and other UW websites as needed.
  • Use Interfolio or other applicant tracking systems to manage applications and maintain electronic files per state records retention requirements.
  • Track student application statuses and ensure timely notifications to applicants as per contract and legal requirements.
  • Work with hiring managers and university departments to ensure compliance with hiring, reappointment, and termination processes.
  • Track hiring and reappointment processes using Excel and ensure compliance with applicable laws and policies.
  • Generate offer letters and notifications to supervisors and applicants.
  • Coordinate onboarding processes for academic student employees.
  • Perform semi-monthly payroll reviews for a high volume of student employees.
