About The Position

The HR / Admin provides administrative support to the Human Resources Department. Key responsibilities include maintaining employee personnel files, coordinating and tracking new hire clearances, and ensuring training records are accurately maintained and stored. The HR / Admin is also responsible for maintaining the HRIS and HealthStream databases, compiling reports, and providing information to support management.

Requirements

  • BA/BS in Business, Management, Human Resources, or related field.
  • 1 year of administrative experience.

Responsibilities

  • Ensure employee files are audit ready at all times and maintained in an organized manner.
  • Track expiration/due dates for documents such as TB clearance, BBS license, Driver’s license, Car Insurance, and Flu vaccinations.
  • Notify employees of impending expiration dates.
  • Assemble new hire documentation.
  • Coordinate with IT Department.
  • Create employee badges.
  • Run monthly birthday and work anniversary reports.
  • Host weekly company-wide zoom calls.
  • Send notifications and reminders to employees.
  • Obtain references for applicants.
  • Support the onboarding process by preparing new hire packets, conducting orientations, and ensuring completion of required documentation.
  • Respond to all employment verification and student transcript requests.
  • Process all requests for business cards.
  • Track due dates of Performance Evaluations.
  • Process all interns and contractors and maintain updated files for them.
  • Provide administrative support to Human Resources Department and the Executive Team.
  • Fax, mail, photocopy, scan and email documents when required.
  • Distribute incoming mail/faxes to appropriate person or department.
  • Place orders for office supplies when needed.
  • Explain policies and procedures to employees during new hire orientation.
  • Track all internal and external training in the Healthstream database.
  • Assist in the planning of the year-end party and employee events.
  • Cross train in pertinent duties of the Executive Administrative Assistant as needed.
  • Actively participate in projects.

Benefits

  • Hourly rate of $21.00 to $25.00 per hour, depending on experience, education, licensure, and certifications.
