Responsibilities

  • Handles the day-to-day operations of the reception desk and mail room for gategroup's US headquarter building.
  • Processes facility expenses and payments related to services incurred for the facility.
  • Coordinates with property management staff and other suppliers performing work in the Gate Gourmet offices.
  • Works with building Front Desk security regarding company visitors.
  • Reports and ensures all facility issues are addressed through Boston Properties Angus Portal.
  • Monitors and responds to employee inquiries via email.
  • Greets and directs incoming employees and guests, managing access cards and parking.
  • Issues, updates, and maintains registration for access cards, workspace keys, and garage parking.
  • Maintains seating assignment chart for Reston Corporate Center employees.
  • Maintains stocks and inventory of café, conference room supplies, office supplies, and first aid cabinet.
  • Works with vendors for copier, café, and long-term document storage and destruction.
  • Collaborates with HR onboarding and IT teams for new hires and IT equipment.
  • Coordinates gym access process for employee registration.
  • Responsible for business card, stationary, corporate forms, and other printing needs.
  • Administers mail room services including sorting and delivering packages and handling outgoing mail.
  • Ensures proper conference room etiquette including IT setup, food ordering, and end-of-day cleanup.
  • Resolves and escalates issues in the HRIS ticketing system to the HRIS manager.
  • Performs HRIS projects and duties assigned by manager or HRIS Lead.
