About The Position

Chestnut Health Systems is seeking a detail-oriented Housing Administration Specialist II to support housing program operations and ensure compliance with program, agency, and HUD requirements. This role works closely with tenants, housing staff, and community partners to coordinate housing referrals, manage waiting lists, assist with tenant eligibility and certifications, and support housing stability for individuals receiving behavioral health services. Chestnut also conducts research and training throughout the U.S.A. This full-time position will work Monday through Friday from 8:00am to 5:00pm at our Madison, IL location.

Requirements

  • Must have a bachelor’s degree and 5 years’ supervised mental health experience; OR a master’s degree in counseling, psychology, social work or related field with less than 1,000 hours of supervised mental health experience
  • Must have a valid driver’s license, private automobile insurance and be insurable
  • Requires basic computer skills and experience to include MS Word, MS Excel, Outlook, Adobe Acrobat and an electronic medical record (EMR) Effective communication with employees, consumers, potential consumers, and support systems.
  • Ability to respond effectively and calmly in conflict or emotional situations.
  • Good keyboarding skills.
  • Data entry experience – preferably with an electronic health record or electronic billing system.
  • Knowledge of standard office procedures and use of office equipment.
  • Must have a valid driver's license, private automobile insurance, and be insurable.

Responsibilities

  • Complete required documentation and data entry, including assessments, treatment and recovery plans, progress notes, housing referral forms, waiting list updates, and other required reports in accordance with agency and funder policies
  • Ensure assessments and treatment/recovery plans are completed prior to due dates when assigned and submit progress notes and documentation within required timeframes
  • Maintain and update housing waiting lists, respond to referrals, screen applicants, and ensure all required documentation is completed and stored appropriately
  • Conduct applicant interviews and coordinate tenant move-ins and move-outs in collaboration with housing and community support teams
  • Maintain accurate records and submit documentation required for HUD compliance, including APRs and other housing reports
  • Ensure tenants meet eligibility requirements and complete required certifications and re-certifications according to program guidelines
  • Support tenants and staff with gathering required documentation and completing certification processes
  • Address tenant and property management concerns, including landlord and tenant complaints, rent payment issues, and establishing repayment plans when needed
  • Provide client-driven services identified in treatment, recovery, and safety plans while meeting assigned productivity requirements
  • Connect tenants to community resources and emergency housing options to support housing stability and independence
  • Build and maintain positive relationships with community housing partners and emergency housing providers
  • Participate in meetings, staffings, and program development activities and provide support to team members as needed
  • Attend required supervision, trainings, and continuing education activities as applicable
  • Promote trauma-informed, recovery-oriented principles in all interactions and documentation
  • Maintain confidentiality and protect all consumer and organizational information
  • Perform additional duties as assigned by the supervisor
