The Role: Ho’okele is growing and looking to add an amazing Scheduler to our team. Our ideal candidate is a friendly, motivated and enthusiastic individual who will provide exceptional customer service and support to both our clients and staff. This role is ideal for someone who enjoys helping others, and is organized and efficient in problem solving in a fast-paced environment. As a Scheduler, you’ll play an important part in coordinating care, supporting our caregivers, and ensuring schedules run smoothly. In-Office working Location: 820 Mililani St, Honolulu, HI 96813

Requirements

  • Excellent verbal and interpersonal communication skills across phone, email, text, and in-person interactions
  • Ability to learn and be proficient in the systems and technologies used by Ho’okele Home Care
  • Familiar with Microsoft software such as Teams
  • Understands how to communicate GPS directions as needed to the team
  • Ability to manage multiple tasks and prioritize responsibilities effectively
  • Exceptional skills in organization and time management
  • Strong attention to detail
  • Healthcare Background preferred
  • Ability to resolve issues independently and collaboratively as part of a team
  • High school diploma or equivalent qualification
  • Ability to pass a Drug and Background Check
  • Mobile phone
  • Reliable transportation

Responsibilities

  • Scheduling & Coordination: Scheduling caregivers to clients based on availability, skills, and care requirements. Work closely with the recruiter, clinical and intake teams as appropriate.
  • Staffing Coverage: Promptly fill open shifts, coordinate replacements for call-offs, and ensure all scheduled visits are covered. Communicating schedules in a courteous and professional manner with both clients and staff.
  • Care Matching: Pairing caregivers with clients based on compatibility, skill set, experience, and specific care plans.
  • Documentation: Accurately recording schedules, client information, caregiver availability, service logs, notes, and communication in scheduling systems.
  • Compliance & Policies: Ensuring schedules meet company policies, labor laws, and client care requirements.
  • Problem-Solving: Effectively managing conflicts, emergencies, and last-minute issues while preserving continuity and quality of care.
  • Administrative Support: Assisting payroll with time punch reconciliations.
