About The Position

Custom Air & Plumbing is seeking a detail-oriented and customer-focused Home Services Coordinator to support our service and maintenance operations in Sarasota, FL. This role plays a key part in managing maintenance agreements, coordinating parts and warranty processes, and identifying service and sales opportunities that support overall business growth. The ideal candidate is organized, proactive, and comfortable working cross-functionally with technicians, dispatch, vendors, and customers to ensure a smooth and efficient service experience.

Requirements

  • Previous experience in HVAC, plumbing, or home services coordination preferred
  • Strong organizational and time-management skills
  • Comfortable handling multiple priorities in a fast-paced environment
  • Excellent communication and customer service skills
  • Proficiency with scheduling software, CRM, or service management systems preferred

Responsibilities

  • Manage and track active maintenance agreements, including renewals, expirations, and customer outreach
  • Coordinate scheduling and follow-up for maintenance visits
  • Assist in promoting and converting maintenance agreements when opportunities arise
  • Order, track, and coordinate parts required for maintenance and service jobs
  • Communicate with vendors and internal teams to ensure timely part availability
  • Maintain accurate records related to parts usage and job readiness
  • Process manufacturer and labor warranty claims accurately and timely
  • Maintain warranty documentation and ensure compliance with vendor requirements
  • Act as a liaison between technicians, vendors, and internal teams regarding warranty matters
  • Identify and document potential sales leads discovered through maintenance and service interactions
  • Communicate leads to the appropriate sales or service leadership teams
  • Support technicians by ensuring job information, parts, and documentation are complete
  • Maintain accurate records in company systems related to maintenance, parts, and warranties
  • Communicate professionally with customers regarding service updates, agreements, and follow-ups
  • Support dispatch and service teams as needed to ensure a positive customer experience
