Requirements

  • High school diploma or equivalent required; higher education in healthcare, business, or related field and 1–3 years of home care, healthcare scheduling, or intake experience preferred.
  • Knowledge of home care operations, staffing coordination, payer sources, authorizations, and state regulatory requirements, with the ability to maintain HIPAA and confidentiality standards.
  • Strong organizational, multitasking, problem-solving, and communication skills with the ability to manage urgent staffing needs and high-volume workflows.
  • Proficiency in Microsoft Office and ability to effectively use scheduling and electronic medical record systems.
  • Ability to work collaboratively in a fast-paced environment, provide strong customer service, and meet compliance requirements including background screening and mandatory reporting obligations.

Responsibilities

  • Manage referral and intake processes by receiving, documenting, tracking, and coordinating new client referrals, ensuring timely clinical review, accurate data entry, and collaboration with billing and operations teams.
  • Coordinate staffing and scheduling by assigning caregivers to new and existing cases, managing call-outs, filling open shifts promptly, and communicating service or staffing changes to leadership.
  • Maintain accurate client records by documenting status changes, communications, complaints, incidents, and all correspondence in accordance with agency and regulatory standards.
  • Serve as a primary communication liaison by addressing client and family inquiries, escalating concerns appropriately, and fostering positive relationships with staff, clients, and leadership.
  • Ensure operational and regulatory compliance by following agency policies, supporting program development through reporting and metrics, attending required meetings, and adhering to state and federal regulations, including mandatory reporting requirements.
