About The Position

To compile, organize, maintain, protect and release confidential medical records; Assist with patient, staff, and third-party needs associated with patient medical records and releases of information

Requirements

  • Associates degree in Health Information Management or related field preferred
  • 2+ Years of Health Information Management Services experience required; experience with eCW strongly preferred
  • Strong critical thinking skills and ability to self-monitor all work to assure quality and accurary of the release
  • Detail-oriented with strong organizational skills
  • Ability to produce a quality work product efficiently and with minimal supervision
  • Ability to meet strict deadlines
  • Ability to handle difficult situations involving Heartland staff, patients, physicians, or others in a professional manner

  • Required to spend long hours on the computer entering various forms of data which requires attention to detail and high levels of accuracy
  • Required to spend long hours in intense concentration
  • Required to spend hours sitting and using office equipment and computers, which can cause muscle strain

  • Requires sufficient hearing level, or reasonable accommodations, to be able to effectively communicate with people in-person or by telephone
  • Occasionally lift items weighing up to 25 pounds

Responsibilities

  • Act as a liaison between the Medical Records Department and other Heartland departments, patients, insurance agents, health care institutions, attorneys, etc. regarding release of protected health information in accordance with Federal and State laws and regulations
  • Process subpoenas and court orders, at the direction of the Director of Risk and Compliance
  • Verify authorizations in accordance with organization policy and procedures and state and federal laws prior to releasing medical records; ensure the requesting party has a legal right to receive the patient’s medical information
  • Appropriately and accurately pull records for patient care, quality review and audits in a timely manner
  • Ensure all releases of information meet the information indicated in the ROI
  • Ensure all releases of information are properly documented for tracking related to treatment, payment and operations
  • Observe confidentiality and safeguards all patient related information; ensure only authorized individuals have access to the patient’s medical information
  • Compile all requested records and create an invoice, if needed, sending both to requestor
  • Provide back-up coverage for scanning and merging documents into electronic health records
  • Provide reports to supervisor as requested
  • Maintains current knowledge related to applicable statutes, regulations, and standards necessary to perform the job.
  • Adapt to work variance and inform manager of work, site difficulties, and or fluctuating volumes
  • Other duties as assigned
