About The Position

ESSENTIAL DUTIES AND RESPONSIBILITIES Retrieve medical records from hospital inpatient and outpatient departments. Prep and scan medical record documents, according to established procedures including responding promptly to stat requests. Import electronically stored documents from network folders and other types of electronic media. · Identify/analyze documents and index to the appropriate level, document type, document description and patient name/MRN so all partners are able to locate scanned documents and the legal medical record is complete for release of information. Adhere to quality and productivity standards. Communicate with office staff regarding scanning and indexing issues. · Perform quality reviews on scanned and indexed documents. Make corrections as needed and log errors to provide feedback/education to the scanner/indexer. · Analyze electronic health records for completeness and accuracy according to Joint Commission standards, CMS, state regulations, hospital and departmental policies and procedures, and Medical Staff Rules and Regulations. Notify internal and external physicians regarding documentation delinquencies. Provide training and assistance to providers on how and where to complete record deficiencies within Epic. · Work with record release vendor to process release of information requests. Understand workflow for releasing records. Follow federal and state regulations, HIPAA and Mercyhealth policies. · Research and resolve MyChart questions received both internally from Mercyhealth partners and externally from patients. Process incoming MyChart Support requests via e-mail, telephone, voicemail or online messaging including MyChart account activation and proxy access. · Perform Point of Care medical record documentation audits to meet Joint Commission standards. Follow up with providers on opportunities for improvement. · Utilize Provider on the Fly functionality to maintain complete records of external providers within Epic so that the appropriate provider can be entered in referring and ordering workflows. · Load medical records from CDs when necessary. · Retrieve medical records from various systems and types of media (electronic, paper, roll film, fiche). · Perform receptionist responsibilities within the HIM department including greeting customers to the department and assist them as necessary as well as answering of department telephones with excellent telephone and interpersonal skills and route calls as needed. Provide coverage within the department as needed. Requires working knowledge of department and system policies, procedures and systems (Epic, Solarity, OnBase, etc).

Requirements

  • High School diploma/GED preferred.
  • Advanced level of knowledge of Health Information Services systems preferred.
  • General knowledge of medical documents and medical terminology.
  • Medical office experience preferred.
  • Passing the Driver’s License Check and/or Credit Check (for those positions requiring).
  • Passing the WI Caregiver Background Check and/or IL Health Care Workers Background Check.
