About The Position

The HIM Technician is responsible for managing medical record information essential for patient care, finance, research, and legal purposes. This role involves the retrieval, distribution, and filing of medical records, as well as maintaining the integrity of both paper and electronic files. The technician will ensure compliance with retention policies and assist in the efficient operation of the health information management system.

Requirements

  • High School Diploma or GED required.
  • Computer/keyboarding skills and working knowledge of office equipment operations are required.
  • Ability to accurately relay information and communicate, both verbally and in writing, tactfully and courteously with peers and healthcare professionals required.
  • 1 year previous medical record department-related experience preferred.

Nice To Haves

  • Prior medical terminology education and previous exposure to terminal digit filing preferred.
  • General knowledge of Pennsylvania and federal HIPAA regulations regarding proper release of information procedures is preferred.
  • Prior exposure to document imaging systems and other healthcare computer applications is preferred.

Responsibilities

  • Accurately assemble the legal health record upon request by regulatory reviews and court appearances.
  • Retrieve medical records, microfilm, and/or electronic records as needed for requestors by utilizing appropriate electronic systems.
  • Utilize the hospital information system Master Patient Index (MPI) to confirm patient data and ensure accuracy.
  • Answer telephone promptly and courteously, handling inquiries appropriately.
  • Establish and maintain good rapport and cooperative relationships with medical staff and other employees.
  • Prepare records and loose sheet documentation for scanning, indexing, microfilming, or filing as appropriate.
  • Perform quantity and quality checks on records before and after scanning, filming, and/or filing.
  • Maintain assigned area of the filing system in a neat and accurate order using the color-coding system.
  • Accurately account for all records leaving or returning to the HIM Department.
  • Interact with UPMC researchers and ensure procedures regarding the release of PHI for research purposes are followed.
