About The Position

The Health Information Management (HIM) Specialist plays a vital role in ensuring the integrity, accuracy, and security of patient health information. As a key member of the HIM team, this role supports high quality patient care by maintaining complete, compliant, and accessible medical records. The HIM Specialist is responsible for record assembly, data analysis, release of information processes, and ongoing management of electronic and paper documentation workflows. This position directly contributes to an exceptional patient and provider experience by supporting efficient record processing, protecting privacy, and upholding regulatory standards across all HIM functions.

Requirements

  • Associate of Science degree in Health Information Management (or related field), or
  • One year of experience with electronic medical records, health statistics, or release of information; office experience may substitute for training.
  • Three to six months of on the job training may be provided to learn record keeping systems and medical terminology.
  • Strong keyboarding, spelling, and grammatical skills required.
  • Detail oriented and committed to accuracy in documentation and data.
  • A dependable team member who values confidentiality, structure, and consistency.
  • Adaptable and eager to learn new systems, standards, and processes.
  • Professional, patient, and comfortable working with diverse teams and information requests.
  • Self motivated, proactive, and able to manage tasks without constant supervision.
  • Strong understanding of health information workflows, documentation standards, and medical terminology.
  • Ability to interpret, compile, and analyze statistical data with attention to detail.
  • Proficiency with Windows, Microsoft based applications, scanning systems, and data entry tools.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, prioritize responsibilities, and maintain accuracy in a fast paced environment.
  • Familiarity with HIPAA requirements, confidentiality standards, and release of information practices.

Responsibilities

  • Ensure patient records are complete, accurate, and properly documented.
  • Analyze and validate documentation for each patient encounter to support timely chart completion.
  • Maintain and update required HIM registers including acute, outpatient, emergency, and other patient care categories.
  • Scan and archive medical records in the electronic medical record system, ensuring high quality digital capture.
  • Manage patient information requests with accuracy, confidentiality, and accountability in alignment with HIPAA and organizational policies.
  • Ensure PHI is securely disclosed only to authorized individuals or entities, upholding strict privacy standards.
  • Support Corporate Compliance and HIPAA related quality assurance, including audits, tracking, and documentation processes.
  • Compile data and prepare periodic statistical reports to support clinical operations and organizational planning.
  • Assist with Master Person Index (MPI) cleanup and accuracy checks to maintain correct patient identity and reduce duplication.
  • Audit workflows and documentation practices to promote consistent and high quality medical record processes.
  • Support meeting preparation and documentation, including recording minutes assigned.
  • Participate in department improvement initiatives and process optimization efforts.
  • Assist with special projects, record purging, and historical record management.
  • Provide cross team support within HIM as needed to ensure timely and efficient operations.
