About The Position

The HIM Data Associate is responsible for creating and maintaining SER dictionaries and Epic master files for the organization in accordance with all UFP and SUF departmental standards related to dictionary protocols. This role ensures the accuracy, integrity, and proper governance of all dictionary entries.

Requirements

  • High school diploma or equivalent required, plus two (2) or more years of related work experience
  • Two (2) years of work experience may be substituted with two (2) years of college coursework in Business, Healthcare Administration, Health Information Management, or a related field
  • Proficiency in Microsoft Office Suite (Word, Excel, and email)
  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously
  • Ability to work independently while coordinating information across multiple internal and external departments
  • Demonstrated initiative and accountability in taking on responsibilities
  • Proven problem-solving skills and the ability to handle highly sensitive and confidential information
  • Excellent oral and written communication skills, with the ability to communicate effectively with healthcare professionals
  • Strong independent decision-making skills
  • Versatile, detail-oriented, and able to meet deadlines in a fast-paced environment

Nice To Haves

  • Associate degree preferred
  • Thorough knowledge of the healthcare industry
  • Working knowledge of personal computers and office technology
  • Familiarity with a major medical software application preferred

Responsibilities

  • Create, maintain, and update SER dictionaries and Epic master files in alignment with established standards and protocols
  • Respond to user requests for new dictionary entries or updates to existing dictionaries
  • Perform all required edits and validations to ensure data accuracy and compliance
  • Maintain accountability for the accuracy and completeness of dictionary entries
  • Coordinate dictionary requests to ensure required approvals are obtained from appropriate stakeholders
  • Ensure dissemination of relevant information to impacted departments, including but not limited to: B/AR Management UF Finance Department Faculty Practice Decision Support (FPDS) Business Operations Managed Care
  • Manage assigned Communication Management pools on a daily basis
  • Ensure all closed notes are routed to the appropriate primary care provider (PCP) or referring source without template issues
  • Communicate with clinic managers or their designees to resolve issues identified within assigned communication management pools
  • Escalate unresolved issues to the supervisor when necessary
  • Ensure communication is routed accurately and in a timely manner
