About The Position

To serve as a resource lead employee for all office staff. It is imperative that the Lead delegates tasks among the office staff to complete these tasks promptly. The Lead will be able to assist patients with questions and/or direct assist other office staff with completing general tasks. Responsible for the operations and administration side of a medical office. Ensures office is running smoothly by supervising office staff, training employees, and overseeing the billing portion of the office. Conveys a positive image of the office and physician practice. Position Accountabilities Responsible for day-to-day operations, ensuring operational, clinical, and customer service excellence. Coordinates daily office operation, including employee work activities and schedules. Actively promotes office teamwork for maximum efficiency. Serves as first point of contact regarding office issues for: physicians, administration, office staff, and patients. Demonstrates effective leadership. Exhibits clinical and organizational skills combined with office knowledge to make the providers’ days more efficient through effective use of all employees and patient scheduling practices. Publishes assignment schedule for maximum provider efficiency within budget. Works collaboratively with HHP Executive Director and HHP Billing Coordinator to maintain office requirements/regulations for FQHC. Proactively works with providers and staff to make certain goals are met and exceeded as pertain to current quality measures (i.e., Meaningful Use. UDS reporting). Conducts efficient team huddles to foster open communication, share pertinent patient and scheduling updates, and promote a cohesive team environment. Participates in health staff meetings and other quality improvement meetings as needed. Demonstrate knowledge of OSHA, HIPAA, and Workplace Violence process. Respects and promotes patient rights. Responds appropriately to emergencies. Provides input and feedback on office budget, quotes, and vendors to Clinic Manager. Acts as point of contact for contracted services day of service including initial invoice review and submission. Shares problems related to patients and/or staff with immediate supervisors quickly. Working Office Lead position will perform all job duties outlined in base job description of LPN, MA, or Front Desk Receptionist. Other duties as assigned.

Requirements

  • High school diploma or GED
  • Graduate of accredited school in healthcare
  • Minimum 3 (three) years of physician office experience
  • Knowledge of healthcare field and medical specialty
  • Knowledge of specific assisting tasks related to particular medical specialty
  • Knowledge of information must be conveyed to patients and families
  • Knowledge of policies and procedures related to infection control, environmental safety and patient confidentiality
  • Knowledge of medical chart reporting/records
  • Skill in performing tasks appropriately
  • Skills in tack and diplomacy in interpersonal interactions
  • Skill in understanding patient education needs by effectively sharing information with patients and families
  • Skill in appropriate use of universal precautions, safe workplace, and confidentiality methods
  • Skill in health information management by appropriately charting patient data
  • Ability to learn and retain information regarding patient care procedures
  • Ability to project a pleasant and professional image
  • Ability to plan, prioritize, and complete delegated tasks
  • Ability to demonstrate compassion and caring in dealing with others
  • Ability to work effectively as team member with medical providers and other staff

  • Must be able to use appropriate body mechanics techniques

  • Must be able to use a variety of office equipment including phone, writing instruments, PC, fax and medical equipment including stethoscope, EKG machine, ear washing equipment, speculums, scales, blood pressure cuff

Nice To Haves

  • Certification in Medical Assisting or Licensed Practical Nurse preferred
  • 4 (four) years of physician office experience
  • Experience with EPIC preferred
