About The Position

This role is for a Healthcare Inventory Manager responsible for comprehensive inventory management, logistics coordination, and facility maintenance. Key areas include receiving, shipping, storing, and tracking inventory for Northwell, managing logistics for various projects including Epic Monitor, Tim Seeburger Cybernet’s, and Bonita projects, and handling logistics for Westchester Medical Center and other departments. The manager will also oversee Agilant truck maintenance, coordinate a truck team, manage ELM warehouse interactions, handle cardboard and dumpster disposal, and facilitate asset disposal. The position requires detailed planning, coordination with multiple internal and external stakeholders, and hands-on involvement in warehouse and logistics operations.

Responsibilities

  • Physically bring in inventory from truck/Pellera vehicle at dock, which can be by cart or pallets.
  • Receive process with Service Now/HamPro.
  • Record individual boxes via FedEx/UPS in Delivery Tracking Number spreadsheet, including time of day and date received.
  • Work with techs to send out user devices to correct location.
  • Request labels for FedEx, providing weight and contact name/phone number.
  • Work with Shipping and Schneider to get items out and picked up.
  • Find locations and ensure pallets are moved over to our aisle.
  • Reorganize pallets so that most needed pallets are accessible.
  • Create clear and instructive labeling that can be read, and attach to pallets.
  • Ensure pallets are safely wrapped and on good pallets before putting them up, repalletize and rewrap if not.
  • Do full inventory counts.
  • Update spreadsheets when inventory is taken out.
  • Assist techs researching ticket numbers based off PO’s.
  • Look up tickets to determine what is supposed to be on them.
  • Create sign-offs for pickups and drop-offs.
  • Assist techs loading and unloading from both Agilant and Northwell.
  • Plan out route day before coordinating with multiple project managers both Agilant and Northwell.
  • Find contacts, their contact information, and create all sign-offs day before.
  • Plan which resources (NY Minute, our vehicles, our techs if available) to use day before, react day of when delays happen, new needs arise, or when resources are unavailable.
  • Coordinate and sometimes actively communicate with onsite POCs and our delivery techs/NY Minute to ensure delivery or pick up completed.
  • Ensure trucks are loaded or able to be loaded, sometimes day before if needed.
  • Get email or Teams message from Sales when order is needed to be delivered.
  • Work with NetSuite account holder to create Packing List.
  • Sometimes scan serials and send them to the one making the Packing List when configuration tech isn’t available to scan.
  • Route sites as far as Margaretville, NY and Kingston, NY in most efficient manner possible.
  • Sometimes load truck day before and have truck team comes in early to be able to complete deliveries before 5 pm.
  • Coordinate van availability and other techs (Justin/Geo) who could drive for other department logistics.
  • Ensure oil changes are done on time, tire condition is good, and nothing is broken on the truck.
  • Schedule service for truck through Enterprise Fleet Management, communicate with them for special requests or non-wear and tear issues like broken parts.
  • Ensure truck is road legal (license plate location, lights working, signage, state inspection).
  • Record and forward necessary documents like tickets or warnings.
  • Record truck team hours and forward to someone (used to be LeVar, now is Crystal Barrera) who can approve payment in Work Market.
  • Ask for availability for extra hours and confirm for projects/tasks that need that.
  • Forward receipts for fuel to someone who can approve payment in Work Market.
  • Work with Paul to request pallets (at least day before).
  • Occasionally have our truck fulfill pickups for other departments when able.
  • Occasionally drop off pallets to be stored with our truck.
  • Ensure cardboard is bailed in a timely manner so it’s not backed up taking space.
  • Balance decision of loading dumpster directly with boxes instead of baling when really backed up.
  • Create pallets of baled cardboard.
  • Call in pick up from Eagle Sanitation.
  • Ensure bales are moved onto truck.
  • Call Eagle Sanitation to send a truck.
  • Send email to warehouse team to let them know a pick up is coming and we’ll have to have people move vehicles.
  • Ask for people to move vehicles when the dumpster truck comes (5 to 15 minutes usually finding people and getting them to move).
  • Get pick up sign off from truck driver.
  • For Northwell, create tickets and request bin tags via email from ITAMG for asset disposal.
  • For Agilant, coordinate with warehouse (used to be LeVar) to include pallets of non-Northwell devices for asset disposal.
  • Create BOL based off template from ITAMG.
  • For ACPNY project, coordinate with Anything IT in North Bergen, NJ to have them pick up devices (on-going).
  • Record hours spent on logistics.
  • Record NY Minute costs.
  • Calculate vehicle costs.
  • Adjust tech resources when non-technical tasks like baling cardboard or moving inventory arise.
