About The Position

The Department of HEAT invites applications for a full-time Practicum Placement Specialist position, under the title of Higher Education Assistant (HEa) beginning Spring 2026. Candidates must have a strong commitment to health services administration, public health, and health education at the undergraduate level. This position requires a commitment of up to 35 hours per week and is a 12-month staff position. The successful candidate will report directly to the Chairperson of HEAT and will be responsible for all aspects of practicum coordinating and facilitating the selection of internship sites in hospitals, skilled nursing facilities, nursing homes, and community health agencies for practicum placements and experiential learning activities. This role will also require assistant in practicum placement in Health Promotion and Nutrition Sciences. This role includes the administrative and technical components of practicum site placement. This role also includes serving as a liaison between faculty and practicum agencies to ensure smooth internship operations and compliance with accreditation standards.

Requirements

  • Bachelor's degree and four years' related experience required.
  • Experience: Strong organizational and administrative skills, with a proven ability to collaborate with others for the benefit of the institution.
  • Skills: Excellent communication skills, with a strong commitment to student success and faculty support.
  • Technology Skills: Must be technologically savvy and able to navigate tools such as Microsoft Word, Microsoft Excel, Navigate 360, and Degree Works and any other relevant tools necessary for clinical coordination, data management, and communication.

Nice To Haves

  • Master's Degree desired.
  • Preferred: Record Management: Experience with maintaining and reviewing student records in third-party systems such as Sonia/Lumivera, or other identified system ensuring compliance with practicum site requirements and regulatory standards.

Responsibilities

  • Practicum Coordination:
  • Coordinate practicum placements for undergraduates in Health Services Administration (HSA), Public Health (PH), and Health Education Promotion (HEP) students,
  • Develop and maintain relationships with practicum partners, ensuring all agency contracts and affiliate agreements are up-to-date and identifying and securing new internship sites and experiential learning opportunities.
  • Facilitate the orientation of students to internship sites, including providing site-specific guidelines and expectations.
  • Communicate with Chairperson, Program Directors preceptors, students and course leads regarding internship details, changes, updates and general information
  • Student and Faculty Support:
  • Communicate with students and faculty regarding required documents for practicum placements, ensuring compliance with NYS health requirements and
  • practicum site prerequisites and ensure all necessary paperwork and documentation are completed accurately and on time.
  • Reschedule students when practicum/internship sites change or require reorganization.
  • Administrative Duties:
  • Complete written correspondence with practicum/internship placement sites each semester.
  • Attend Department of HEAT and HPNS meetings and report regularly to the Chairperson, program Directors/Co-Directors.
  • Maintain accurate records of student practicum hours, site evaluations, and required documentation for regulatory and accreditation purposes.

  • Engage in ongoing professional development activities related to practicum/internship education and coordination
