About The Position

Operation PAR, Inc. is a non-profit organization offering the full continuum of services for individuals with substance use and/or mental health disorders.  PAR has been providing comprehensive behavioral health treatment in west Florida since 1970 through advocacy, education, clinical services, and research. General Description: HIM Front Desk: First responder to incoming phone calls; Logs and tracks medical records coming into the department; performs quality review on imported documents to EHR, retrieves and releases medical records in responses to internal/external requests for records.  Performs other duties of the position as delineated in the competencies.

Requirements

  • Associate degree in HIM (preferred)
  • Three years experience in an HIM department for HIM Specialist III
  • Managerial experience together with other significant transferable skills.
  • A comparable amount of training, education or experience may be substituted for the above minimum qualifications
  • Knowledge of federal and state laws governing confidentiality of substance abuse medical records preferred.
  • Ability to make decisions regarding release of information in accordance with the law in complex circumstances.
  • Ability to effectively communicate with all internal and external customers, including, but not limited to, attorneys, the courts, law enforcement and investigators, funders, insurance companies, etcetera.
  • Computer literate: MS Word application (minimum) and able to adapt to e-systems.
  • Ability to effectively prioritize multiple tasks
  • Knowledge of principles of health information management
  • Ability to meet benchmark goals in all areas of measured task
  • Ability to make appropriate independent decisions.
  • Valid driver's license

  • Must maintain current training as required by Operation PAR, Inc. policies

Responsibilities

  • HIM Front Desk: First responder to incoming phone calls
  • Logs and tracks medical records coming into the department
  • Performs quality review on imported documents to EHR
  • Retrieves and releases medical records in responses to internal/external requests for records
  • Answers phone in timely manner
  • Addresses all internal and external customers with respect and courtesy
  • Maintains confidentiality of medical records according to established policies, procedures, and Confidentiality Agreement
  • Identifies need for operational supplies and inputs data in Vendor e-system
  • Accurately files and retrieves records
  • Utilizes out guides according to Established procedure
  • Purges file room and accurately logs records for internal & external storage
  • Logs all incoming client records in Avatar Chart Locator
  • Effectively utilizes Avatar and other System applications and reports systems problems to IT–as needed
  • Demonstrates timely response to internal requests for records and copies
  • Records based on HIPAA “minimum necessary requirements.”
  • Validates authorization forms accurately, processes request for client information within appropriate/legal timeframe
  • Exchanges client information to external requesters only as necessary and with client authorizations, or as otherwise permitted by law
  • Retrieves appropriate information according to client authorization for release of information and provides customers with legible copies in accordance with 42 CFR, Part 2
  • Logs all request for client information in the ROI database in a timely manner
  • Validates and processes request according to 42 CFR Part 2; effectively communicates with the requestor, client and programs as necessary to Meet all customer needs
  • Transmit electronic records with encryption method
  • Reviews all scanned incoming records with accuracy
  • Correct images, dates, ID numbers, and document types in accordance with policies and procedures
  • Effectively catalogs records into correct document types per department policies
  • Communicates with Lead and other Management staff on corrections and process
