About The Position

The Health Information Management Services (HIMS) Manager is responsible for overseeing the Medical Records Department at the Santa Clara Valley Medical Center. This role involves coordinating activities across various technical and clerical units, ensuring the security and integrity of patient information, and supervising staff. The manager will also assist in developing departmental goals, managing budgets, and preparing for accreditation reviews, while serving as a subject matter expert in health information management.

Requirements

  • Five years of experience in Health Information Management Systems or Medical Records Management in a hospital or health-related setting.
  • Three years of supervisory experience in health information management or medical clerical and transcription functions.
  • Possession of either RHIA or RHIT certification from AHIMA.
  • Valid California driver's license.

Nice To Haves

  • Experience with Electronic Medical Records (EMR) systems.
  • Knowledge of federal, state, and local regulations for health information management.
  • Experience in quality measurement systems and reporting.

Responsibilities

  • Maintain and oversee security and safety of all patient information, including data archiving and warehousing.
  • Supervise specified technical/clerical sections of the Medical Records Department.
  • Consult with the Director on goals, strategy, and vision, and advise on operational problems.
  • Assist in developing overall department plans and goals, and set performance levels.
  • Develop project plans for medical record-keeping in the Electronic Medical Record (EMR) system.
  • Ensure and maintain data integrity and quality of the EMR and Enterprise Master Patient Index (EMPI).
  • Assist in preparing budget and maintaining cost control through tracking expenditures.
  • Effect changes in departmental policy and/or procedures to meet objectives.
  • Provide management reports of unit activity related to volume and quality.
  • Hire, mentor, train, counsel, and provide feedback to staff on performance.
  • Prepare HIMS Department for accreditation review and ensure compliance with standards.
  • Ensure adequate training is provided to staff for applicable IT systems.
  • Serve as subject matter expert to improve EMR system and operational workflows.
  • Develop process improvement teams and implement recommendations related to accreditation requirements.
  • Serve as department representative on various management committees.
  • Coordinate data input and output for information systems providers and departmental users.
  • Monitor systems input and output for data quality and resolve issues with IT support.
  • Prepare and maintain policies and procedures manuals.
  • Monitor supply inventory.
