Summary: The Health Information Management (HIM) Operations Manager oversees daily HIM operations including the release of medical information, document imaging, and medical dictation and transcription services. This role ensures team performance aligns with organizational standards and all applicable administrative, ethical, security, legal, and regulatory requirements.

  • Bachelors (Required)
  • Requires critical thinking skills, effective written and verbal communication skills, decisive judgment, and the ability to work with minimal supervision.

  • Requires thorough knowledge of provider documentation workflows in the electronic medical record.

  • Possesses thorough knowledge of federal, state, and regulatory requirements related to Health Information Management operations for areas of responsibility.
  • Three (3) years of core Health Information Management experience and one (1) year of management experience.

Nice To Haves

  • Bachelor’s degree in Business Administration, Health Information Management or a related field
  • Health Information Management training, Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA), American Health Information Management Association (ASIMA) preferred.

Responsibilities

  • Manages document imaging, scanning, and indexing processes at both post-discharge and point of care to support Healthcare Information and Management Systems Society (HIMSS) Stage 7 certification, ensuring timely and accurate conversion of paper records to electronic format.
  • Serves as a subject matter expert resource to guide departments and clinicians on patient identity management, record merges, and chart corrections.
  • Develops staffing plans, oversees productivity and quality metrics, assigns work schedules, and provides training on MHS systems, workflows, policies, and procedures.
  • Oversees release of information operations across all acute care and ambulatory facilities ensuring accuracy, timeliness, and compliance with federal, state, and regulatory requirements in accordance with MHS standards.
  • Maintains strict adherence to patient confidentiality and privacy standards in accordance with MHS policies and regulatory requirements.
  • Identifies, investigates, and resolves discrepancies in a timely manner.
  • Supervises, trains, and manages HIM staff, providing leadership that supports performance, engagement, professional development, and alignment with organizational goals.
  • Supports leadership in ensuring departmental compliance with budgetary, regulatory, and personnel requirements.
  • Oversees medical dictation and transcription operations, ensuring transcription quality, turnaround times, and system functionality meet established standards. Ensures medical dictation system remains current with active MHS providers and monitors transcription software performance to minimize downtime.
  • Acts as the primary liaison with outsourced vendors.
