About The Position

Under basic supervision, works with all divisions of the health department.  Duties include various clerical functions which require basic knowledge of the department and programs offered.

Requirements

  • High School Diploma or GED equivalent; AND one (1) years of clerical or office experience.
  • Must maintain CPR and AED certification.
  • Must have a valid Driver’s License and/or other specialized certifications may be required.
  • SPECIAL NOTE: All employees are considered First Responders in the Event of a Disaster Response Situation. All employees must report for duty upon request of the Director during a public health emergency.
  • Knowledge of County and department policies and procedures.
  • Math and basic accounting practices.
  • Regulations, laws and scope of work of Vital Records.
  • HIPAA regulations and exemptions for public health employees, Civil Rights Compliance.
  • Immunization requirements and current state requirements to attend schools/daycares.
  • Customer service and telephone etiquette.
  • Contract billing procedures.
  • Basic knowledge of current contracts, grants, MOU’s and agreements.
  • Skills in: Communicating clearly both verbally and in writing.
  • Prepare, update, file, copy, scan, email, sort and retrieve information in a timely and effective manner.
  • Operating a computer, standard software, and some specialized software.
  • Entering data rapidly and accurately into computer system.
  • Interacting with the public, staff, and insurance carriers tactfully and professionally.
  • Handling and reconciling purchase orders, invoices, checks, cash and credit card transactions money accurately.
  • Making sound decisions within established guidelines and procedures.
  • Handling a large volume of public contact, including difficult situations and interruptions.
  • Follow oral and written instructions.
  • Maintain appropriate level of confidentiality for both written and verbal information.

Responsibilities

  • Greets patients and collects information; makes copies of documents as appropriate; greets patients and collects information; makes copies of documents as appropriate. Screens for insurance eligibility and documents approval. Collects payment for services rendered.
  • Prepares all medical paperwork to include history, consent, HIPAA, patient encounter forms, and immunization card; pulls patient medical charts and attaches or transcribes updates.
  • Answers and responds to a large number of incoming phone calls including supplying requested information, making various program appointments and/or connecting the caller with the proper department, staff member, and/or referral to an appropriate outside agency.
  • Processes birth and death certificates; registers deaths occurring within Franklin County; issues certified copies of certificates as requested. Prints certified copies or send electronically as requested ensuring all registered certifications are sent to the state department.
  • Completes data entry functions to track all immunizations given through ShowMeVax.
  • Sorts, cross-indexes and files reports, records, and other materials according to appropriate methodology such as alphabetical, numerical, etc.; retrieves information from files as required.
  • Maintains appropriate supplies and forms for assigned area.
  • Handles daily customer financial transactions as required including processing payment for services, issuing receipts, processing cash receipts for bank deposit, etc. Transactions include cash, check, credit and credit card transactions.
  • Maintains the cleanliness of the lobby and restrooms; sanitizes all surfaces; sweeps and mops floors. Organizes books, magazines, and toys.
  • Processes mail; signs for incoming packages; reviews shipments to ensure correct products were received. Responsible for alerting nursing staff when highly sensitive specimens and vaccine shipments arrive ensuring compliancy with temperature regulations.
  • Performs other duties as assigned.
