About The Position

The Health Center Administrator (HCA) is responsible for leading and managing the day-to-day operations of the health center, from overseeing a variety of administrative functions to training and managing personnel in a professional, team-oriented environment. The HCA supports operational initiatives, achieving patient satisfaction and clinical outcomes measured via a variety of metrics with a focus on service and operational excellence. The primary responsibilities of this position are direct and indirect supervision of all center staff (excluding providers), fostering cohesion among the center, managing and coordinating the development and implementation of policies and procedures as they relate to customer service. The role of the Health Center Administrator requires a comprehensive skill set, including excellent communication, organization, and interpersonal skills. Requirements

  • Bachelor’s Degree in health care administration, business management, or related field required. Master’s degree preferred.
  • Must be proficient in using MS Office applications including Word, Excel, Power Point, and SharePoint.
  • Excellent time management, problem solving and decision-making abilities. Must have the ability to prioritize work.
  • Attention to detail and strong problem-solving skills.
  • Flexible and be able to respond to rapidly changing work environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion required.
  • In-depth knowledge of medical practice operations, regulations, and compliance requirements.
  • Strong leadership skills and the ability to effectively manage and motivate a diverse team.
  • Exceptional communication and interpersonal skills to interact with patients, providers, and staff.
  • Proficient in using practice management software and electronic medical records systems.

Responsibilities

  • Oversees and manages all aspects of the center’s daily operations, including scheduling, office management, and staff supervision.
  • Participates in interviewing, hiring and orientation of center staff. Manages and supervises front office staff, clinical staff, and other administrative personnel.
  • Ensures effective communication with patients, physicians, and staff. Ensures there is adequate staffing each day, arranging coverage for any call-offs or scheduled time off and ensuring that all Standard Operating Procedures are followed.
  • Coordinates and collaborates with providers and staff to deliver high-quality patient care. Directs and enhances the provision of medical services by fostering a sense of teamwork within the center.
  • Oversees the scheduling of patient appointments and medical procedures to ensure adequate patient volume to meet organizational goals.
  • Participate in the development and updates to policies and procedures to comply with regulatory requirements.
  • Develops written performance standards for staff under supervision.
  • Develops and implements efficient systems and processes to optimize workflow and ensure smooth operation of the center. Evaluates key center performance metrics to determine effectiveness of systems and processes.
  • Provides orientation to new employees and provides ongoing training to all employees within the center.
  • Conducts meetings and facilitates trainings, including trainings on new initiatives and workflows.
  • Ensures compliance with all relevant regulations, laws, and standards, including HIPAA and OSHA.
  • Supports the management of all aspects of the business impacting the financial health of the center including scheduling, budgeting, and billing.
  • Ensures excellent customer service and patient satisfaction by resolving any complaints or issues that arise.
  • Contributes to the strategic planning and decision-making processes to drive the growth and success of the organization and center.
  • Responds to concerns of patients, providers, and staff. Monitors, inspects, and reports incidents as they arise within the center.
  • Works with leadership to identify opportunities and problems and initiates plans for decision-making and problem solving in the organization.
  • Maintains knowledge of and enforces FCHC policies and procedures.
  • Ensures center represents FCHC in a positive manner, including ensuring areas are organized, clean, and functional.
  • Monitors supply inventories to ensure operational levels are maintained.
  • Responsible for monthly and quarterly site inspections and conducts all required drills and inspections.
  • Directly supervises practice staff to include MA’s and Patient Specialists assuring adequate coverage for all positions.
  • Coordinates with security and facilities to maintain a safe work environment.
  • Works with FCHC’s Quality teams as appropriate in the areas of UDS, PCHH, PCMH, ACO and other programs and initiatives. Participates in meetings related to these initiatives.
