Headquarters Administrator – Full Time – Charlottesville, VA SUMMARY: The Headquarters Administrator is a member of the Facilities Management team and ensures our newly constructed headquarters operates efficiently and in alignment with organizational standards. This role partners closely with facilities leadership, vendors, and internal teams to support day-to-day building operations and workplace services. The position also plays a key role in supporting broader Facilities Management efforts, particularly in coordinating and maintaining strong vendor relationships to ensure service quality and operational consistency. By helping maintain a professional and well-functioning environment, the Headquarters Administrator enables teams to collaborate effectively and do their best work while contributing to facilities coordination across the organization as needed.

Requirements

  • One to three years of experience in a similar or related position, including work in a professional setting.
  • High School Diploma or GED required
  • Must be a goal oriented, deadline driven individual who possesses a high degree of professionalism
  • Able to handle multiple tasks in an efficient and organized manner while attending to details
  • Excellent oral and written communication skills
  • Thrives in and maintains composure in a fast-paced environment

Responsibilities

  • Support day-to-day building operations to ensure a safe, efficient, and well-maintained workplace
  • Oversee mailroom operations, including incoming deliveries, outgoing shipments, and records management coordination
  • Administer employee and visitor badge access and manage visitor management systems
  • Maintain seating charts and support space planning updates
  • Ensure office supply inventory and shared workplace areas remain stocked and organized
  • Coordinate conference room setup and ensure meeting spaces are functional and professional
  • Partner with Technology and Facilities leadership to address building systems, equipment needs, and security updates
  • Track facilities requests and support operational workflow through ticketing systems
  • Collaborate with the Facilities Management to support broader facilities initiatives across locations
