About The Position

POSITION SUMMARY: The Head Start Administrative Assistant supports the Head Start Director in planning, organizing, and managing administrative activities for the Head Start program. This role includes oversight of administrative functions related to training, contracts, and public relations. The Administrative Assistant will support the development of policy statements and long-range program projections under the guidance of the Head Start Director. The position works collaboratively with Coordinators to ensure Head Start services are integrated and aligned with program work plans to meet Head Start Performance Standards. The ideal candidate demonstrates knowledge of and commitment to the Agency’s mission, vision, code of ethics, and strategic plan focused on helping people and changing lives. Compliance with the Agency’s drug- and alcohol-free workplace policy is required. This position is contingent upon continued program funding and requires Policy Council approval. Preference will be given to Head Start parents.

Requirements

  • A bachelor’s degree in early childhood is preferred. Specific Head Start/Early Head Start experience may be accepted in lieu of a degree.
  • Minimum three years of progressively responsible supervisory/management positions, including experience with boards and advisory committees.
  • Be able to pass the required KBI, background, and health tests.
  • Strong written and oral communication skills.
  • Must be able to participate in daily kneeling, stooping, bending, and sitting on the floor, and occasionally lifting up to 40 pounds.
  • Possess a valid driver’s license and comply with ECKAN insurance standards, as applicable.
  • Proficiency in general office procedures and computer applications.

Responsibilities

  • Interact with Head Start participants, community members, and staff in a respectful and professional manner that reflects Head Start’s mission.
  • Complete various administration tasks for and in concert with the Director and Program Managers, including functioning within an active calendar, preparing correspondence, arranging details with meetings, agendas, meals, other reports, and functions as needed. (possibly add CACFP)
  • Maintain office inventory and maintenance records.
  • Assist in writing vouchers to pay invoices. (could include monitoring In-Kind)Assist in researching and developing grant proposals for program improvement and expansion of early childhood development and family services programs. This consists of the self-assessment and the Annual Head Start Report to the public.
  • Reviewing program audit reports and assisting in addressing findings or performance issues; coordinating corrective actions and monitoring progress under the guidance of the Head Start Director.
  • Working closely with the Head Start policy council to ensure the flow of program and financial information is delivered to members and is understood.
  • Attend staff meetings, workshops, and in-service training provided by the agency, as requested.
  • Adhere to the ECKAN code of ethical conduct in all work activities.
  • Maintain confidentiality of all agency and program information.
  • Maintain accurate and up-to-date records per policies and procedures.
  • Perform other duties as assigned to support the Head Start program and agency objectives
