About The Position

The Guest Services Operations Coordinator & Event Production Manager plays a crucial role in providing administrative support to the Barnstorm & Contracted Guest Services Production Team. This position involves coordinating event logistics, managing communications, and ensuring smooth operations across various events, including major festivals. The role requires a blend of organizational skills, leadership, and the ability to work collaboratively with clients and team members.

Requirements

  • 3+ years' experience in a related field or department.
  • Highly proficient in MS Office & G Suite products.
  • 2+ years' experience with staff scheduling/database software preferred.
  • Strong verbal and written communication skills.
  • Strong leadership skills and exceptional attention to detail.
  • Motivated self-starter with exceptional follow-through skills.
  • Ability to project manage, prioritize, and multi-task in a fast-paced environment.
  • Ability to handle stress and pressure effectively.

Nice To Haves

  • ADA Coordinator Certification is a plus but not required.
  • Experience with LASSO or similar staff scheduling/database software preferred.

Responsibilities

  • Share and update relevant notes, agendas, and materials with stakeholders.
  • Maintain Barnstorm's internal systems, scheduling, meeting notes, files, and communications.
  • Coordinate, book, track, and communicate event and travel logistics for contractors.
  • Develop, update, and train staff on company materials like SOPs and onboarding guides.
  • Manage assigned events and roles using independent judgment.
  • Support Event Production in assigning tasks and tracking progress updates.
  • Assist with onboarding new employees and ensuring access to necessary tools.
  • Maintain and update shared team calendars and schedule meetings across time zones.
  • Organize and maintain company files and documentation using Google Drive.
  • Monitor and manage company email accounts and ensure timely responses.
  • Coordinate communication across team members using tools like Slack and Zoom.
  • Assist with onboarding and training contracted Guest Services Staffing Leads.
  • Respond to client and staffing inquiries and coordinate with vendors.
  • Help coordinate advance and onsite needs with community partners and service providers.
  • Coordinate staff travel, book flights and accommodations, and track expenses.
  • Manage onsite logistics during events and provide leadership to team members.
