About The Position

Assist and provide administrative support for the Groups Pastor. This multi-task, fast-paced position requires a thorough understanding of all administrative and clerical procedures at Gateway. The position coordinates all details related to the department's events, while also maintaining calendars, scheduling appointments, returning phone calls, and responding to emails. The position requires a thorough understanding of Gateway Church's ministries, processes, and policies to effectively create a culture consistent with Gateway's DNA. This position supports the Groups Pastor on campus. A high degree of organizational skills is required to steward department budgets and volunteers. This person will assist in overseeing Growth Path, Community Night, Kairos, and topical classes, onboarding new groups, and utilizing Planning Center Online (PCO) software to manage groups. This person will also assist in the execution of all details related to men's and women's events. A complete understanding of project management and PCO software is required (training provided). Excellent time management and communication skills are essential.

Responsibilities

  • Provide administrative support and maintain schedules and calendars.
  • Prepare and process expense reports, POs, invoices, check requests, and receipts. Maintain a record of actual monthly expenses to assist with budgeting. Order and maintain office supplies and printed materials.
  • Accurately and confidentially process any business documents, applications, letters, and emails, and return phone calls.
  • Steward deadlines, priorities, and details required for a project or as requested to support others.
  • Set up appointments and update calendar(s) for self and others. Maintain the volunteer database, along with the necessary communication, to ensure proper scheduling, training, and expectations in support of leadership.
  • Schedule, develop, and implement action plans to prepare for ministry or department services/events. Work closely with event administration (and volunteers) to assist leaders before, during, and after a service/event.
  • Coordinate and communicate with central ministries concerning all materials, promotional pieces, and electronic information concerning the ministry.
  • Attend administrative team meetings.
  • Keep PCO, PCO Groups, and website updated.
  • Collaborate, propose, and assist in improving experiences in adult ministries.
  • Assist with promotional methods and materials for adult ministries.
  • Assist the Groups Pastor in overseeing the budget and expenses.
  • Assist in recruiting, equipping, and communicating with all volunteers and group leaders.
  • Assist the Groups Pastor in overseeing the assimilation of people into church membership and serving, including the recruiting and training of new group leaders.
  • Assist the Groups Pastor in recruiting, training, and managing Equip volunteer teams to host, teach, and minister Equip classes.
  • Fully utilize the functions of Slack, PCO, and other management systems.
  • Acquire and manage all tangible materials needed for adult ministries.
  • Participate in campus team meetings.
  • Perform other duties as assigned.
