About The Position

This position is responsible for the solicitation, building of relationships, pursuit and contracting of Group Sales events.

Responsibilities

  • Makes outside maintenance, cold solicitation, new prospect calls and new lead follow up, as outlined in action plan.
  • Responsible for qualifying all business to maximize profit potential.
  • Keeping up-to-date and accurate Delphi notes and activities.
  • Updates 14-day arrival report with relevant groups for weekly update.
  • Prepares group resumes and BEO’s in adherence with the distribution schedule.
  • Responsible for the receipt and processing of all rooming lists, banquet event orders, deposits (required after the contract phase), pro formas and pre-payments.
  • Conduct/assists with inter-departmental investigations on billing, client complaints and follow up as required.
  • Handles all inquiries within one hour.
  • Daily monitoring of correspondence to clients and other departments regarding bookings.
  • Responsible for site inspections and inside appointments.
  • Greets groups and has floor presence as needed.
  • Responds to Bold chats.
  • Confirms cut-off date, room block, meetings attendees, etc.
  • Handles all group related activities from time of arrival to departure.
  • On site contact for any needs or requests during program.
  • Follow up on pre-arrival information; check in arrangements, billing procedures, changes and discrepancies, including post-departure questions.
  • Process necessary paperwork on changes, cancellations and additions prior to arrival.
  • Handles VIP reservations by tracing and confirming.
  • Becomes thoroughly familiar with all clauses of clients contracts.
  • Aggressively up sells clients hospitality suite requirements, VIP’s, Amenities, suites, banquet food and beverage and special requests
  • Works closely with the Front Office supervisory staff to ensure smooth group arrival and delivery of services.
  • Coordinates client group activities and needs with relevant departments.
  • Performs any other related duties as determined by the Associate Director of Sales.
  • Attends Resume, BEO and Sales meetings as scheduled.
  • Maintaining clean, accurate master files.
  • Assist the Associate Director of Sales in recapping and cleaning out Delphi accounts.
  • Maintain procedural paper flow, distribution and filing of contracts.
  • Perform any other special tasks for a variety of events or annual projects.
