ROLE & RESPONSIBILITIES Own and manage a portfolio of small to mid size group, meeting, and event opportunities (e.g., short term, local, repeat, or lower complexity business), from initial inquiry through contract signature. Qualify inbound group, event, and meeting inquiries, conduct discovery by phone/email, and recommend appropriate dates, space, and package options to maximize conversion and revenue. Coordinate the full client journey from initial inquiry, proposal, and contract generation to seamless handoff for event execution with group resumes, ensuring communication with parties, e.g. Conference Services, Catering, Lodge, Golf, Spa, as needed. Manage and prioritize workflow for the sales team, ensuring all leads, tasks, and follow ups are tracked and completed in a timely manner using HubSpot CRM and sales technologies Prepare and deliver customized proposals, contracts, and event orders, working closely with the sales manager to ensure accuracy and alignment with client requirements. Includes RFP responses, rate quotes. Maintain and update sales databases, client records, and event calendars in HubSpot, ensuring data integrity and enabling proactive outreach and follow up Support proactive sales efforts by researching potential clients, assisting with outbound prospecting campaigns, and preparing collateral for sales presentations. Collaborate with marketing and operations teams to coordinate site visits, client tours, and the execution of group events, ensuring a seamless client experience. Monitor and report on key sales metrics in HubSpot, such as lead response times, conversion rates, and booking pace, providing insights to optimize sales strategies Contribute to the development of new sales processes and digital tools, staying current with hospitality trends and technologies to future proof the sales support function. Participate in weekly sales meetings, providing workflow updates, client feedback, and suggestions for improving team efficiency and guest satisfaction. Conduct proactive outreach to past clients, lost business, and warm prospects to generate rebooking and new group/event business. Support the Sales Manager by handling smaller or inside focused accounts, freeing the Sales Manager to focus on high value, high potential accounts and field sales. QualificationsQUALIFICATIONS & EDUCATIONAL REQUIREMENTS High School diploma or equivalent Experience in hotel or hospitality sales coordination and selling client facing, workflow driven role. Proficiency with HubSpot CRM and related sales technologies; ability to quickly learn new digital tools and platforms Exceptional organizational and time management skills, with the ability to prioritize multiple tasks and deadlines in a fast paced environment. Strong written and verbal communication skills, with a focus on professionalism, hospitality, and client satisfaction. Analytical mindset, able to track and interpret sales data, identify trends, and suggest process improvements. Team oriented, proactive, and adaptable, with a willingness to take initiative and support the sales team’s goals. Professional appearance and demeanor; ability to represent Flying Horse Resort positively with clients, vendors, and colleagues. Workflow management: Efficiently handles multiple projects and client requests, ensuring nothing falls through the cracks. Organization and effective communication. Sales support: Proactively assists in building the sales pipeline through research, follow up, and process innovation. Continuous improvement: Seeks out and implements new methods to streamline sales operations and enhance the client experience. ADDITIONAL NOTES Will have contact with all staff, department managers, and other industry related people and is to conduct relationships in a manner that will enhance the overall marketing and operational success of the company.
