About The Position

The Group Sales Conference Service Specialist is responsible for creating first-class on-site group experiences.  This individual will serve as the primary point of contact for assigned groups from check-in through check-out.  Coordinates with the Group Sales team to identify the needs of assigned groups before arrival to create and execute cross-departmental plans to meet those needs. Provides status updates at weekly group meetings to properly prepare and identify potential issues for upcoming group arrivals. Identifies and creates processes that improve the overall group booking and onsite experiences, attending groups' focused events to promote group sales. Must be able to work as part of a team.  Works with third-party vendors and venues to ensure excellent customer experiences and enhance the resort’s group venue options.  Position requires excellent customer service, general office skills, and the ability to learn current timeshare software and CRM software. The Group Sales Specialist is responsible for generating group business through proactive outreach, relationship building, and strategic sales initiatives to meet or exceed revenue goals. This role involves coordinating with internal departments to ensure seamless execution of group events, while delivering exceptional customer service and tailored solutions to clients. Duties include but are not limited to answering phone calls and emails, booking group reservations, taking deposits, managing contracts and sales agreements, and data entry.

Requirements

  • Proficient in Microsoft Office Programs, CRM, and the reservation management system
  • Ability to work independently and as a team in a fast-paced environment
  • A high degree of accuracy and attention to detail
  • Excellent organizational skills

Nice To Haves

  • Knowledge of event planning or group booking experience
  • Experience in the hospitality industry

  • Valid driver’s license and approved driving record

Responsibilities

  • Create first class onsite groups experiences through coordination of all onsite activities for assigned groups from check in through check out
  • Proactively identify assigned groups needs through effective pre-arrival communication and coordination with the group client.
  • Work closely with group sales clients, front desk, food and beverage, activities, snow sports, family adventure park, and Waterpark departments to ensure a seamless guest experience throughout their stay
  • Represent the resort at offsite groups related functions as needed
  • Work directly with third-party venues to ensure excellent groups functions
  • Complete special projects as assigned
  • Other duties as assigned by management
